Patient Coordinator (MedSpa)


We are seeking a client-facing sales and marketing professional with a proven track record of success. The Patient Coordinator is responsible for providing all services we offer while ensuring a positive patient experience. The ideal candidate will bring excellent customer service skills, credibility, and high integrity, along with the ability to create lasting relationships with patients built on trust. While a love of aesthetics is beneficial, the focus will be on sales and operations to help patients look, feel, and be their best.


Responsibilities:

• Educating patients and potential patients on our services and laying out a highly customized treatment plan to assist them in looking, feeling, and being their best.


• Selling the value of our services to patients during their consultations and treatments.


• Following up with previous patients to cultivate relationships and renew their interest in a potential partnership.


• Creating partnerships in the community and cultivating lasting relationships with patients.


• Supporting and participating in outbound marketing activities with the goal of developing synergistic partnerships with local complementary businesses.


• Making outside calls to generate interest through community marketing, health & wellness trade shows, and outbound marketing to local complementary businesses.


• Managing and overseeing daily clinic operations, including accounting, scheduling, sales, marketing, client retention, and inventory management.


• Creating a strong culture within the clinic and motivating others for optimal performance.


• Greeting patients in a friendly manner as they enter the clinic, answering incoming calls, patient scheduling, and pre- and post-visit communication.


• Processing patient charts to ensure they have a highly developed treatment plan, adjusting when necessary, and ensuring payments have been made for services.


• Evaluating guests' suitability for laser, aesthetic, and other non-surgical cosmetic services.


• Following proper protocols for lasers and aesthetic devices, maintaining consistent adherence to established patient care standards, and acting as a liaison to the medical director.


• Performing services that include IPL/Photofacials, Fractional Laser Treatments, DiamondGlow Facials, Laser Hair Removal, EMSCULPT NEO + CoolSculpting Treatments, Venus Legacy, and PICO Genesis Tattoo Removal.


• Being knowledgeable in treatment protocols and all services offered plus retail product lines (SkinCeuticals, SkinMedica, Obagi, NeoCutis).


• Other duties as assigned.

Qualifications:

• A licensed esthetician with management experience.


• 3+ years of sales experience (some business-to-consumer preferred).


• Experienced in building relationships with patients that have lasting value.


• Proven track record of exceeding annual revenue and profit targets by building relationships.


• Extensive and successful commitment to exceeding customer expectations.


• Exceptional interpersonal and communication skills.


• Must be a self-starter and highly motivated.


• Preferred but not limited to the following industry experience: Esthetic, Cosmetic, Health & Wellness, Weight Loss, Hair Restoration, Plastic Surgery, Med Spa, Lasik, PR and marketing, Fitness, or related industries.
