Job Description
The Administrative Assistant provides administrative and operational support to the Department of Art. This position serves as the primary contact for students, faculty, staff and guests, and provides reception for the department.
Responsibilities
Assist with the budget operations of the office/department: reconcile P-card purchases; make vendor payments; process invoices.
Assist department chair with staffing plans and updating course catalog.
Respond to email, calls and correspondence; assist visitors, order office supplies; maintain department calendar, schedule appointments and meetings, maintain filing systems, prepare documents and correspondence.
Assist other department faculty with room reservations, maintaining office hour signage, mailboxes, printing class posters etc.
Assist with arrangements for department guests, which may be for guest speakers, lecturers, and/or candidates for faculty searches. This will include, but is not limited to, travel reimbursements, honoraria, as well as setting up accommodations.
Monitor scheduled maintenance and issues associated with department facilities and equipment; communicate updates to department and facilities/vendors.
Maintain department databases and assist with maintenance of department websites.
Work with other departments on campus including Accounts Payable, Registrar, Purchasing, and Human Resources.
Assist with the organization of department event and student orientation.
Required knowledge, skills and abilities
One to two years of administrative support experience or equivalent combination of education and experience.
Strong computer skills including proficiency with Google and Microsoft Office suites and ability to learn additional technical systems.
Excellent written and verbal communication skills.
Must have the ability to interact effectively with a diverse community of faculty, students, staff, and visitors.
Must exercise discretion and maintain confidentiality.
Strong organizational skills and attention to detail.
