The Analyst, Contract Marketing - RFP is responsible for gathering, organizing, coordinating and managing the proposal process for responding to Requests for Proposals ("RFP"), Requests for Information ("RFI"), and Requests for Quotations ("RFQ") including all technical, legal, business and pricing information from a variety of SMEs and produce such information into a clear and concise proposal that addresses the Bidder's needs while presenting ICU Medical and our product offering most favorably to advance the business opportunity for ICU. This role is a critical commercial role in the growth of ICU Medical's business. This role ensures that all proposals are delivered on time, meet client requirements, and effectively present ICU Medical's products or services. The Analyst, Contract Marketing - RFP works closely with internal teams to gather necessary information and ensures that responses meet client specifications.



Essential Duties & Responsibilities

  • Review, analyze, and assess RFP documents to determine the best approach for proposal response. Responsible for quarterbacking the RFP process from receipt to submission, ensuring deadlines are met. As the primary point of contact for both internal and external stakeholders you will be sharing information as needed and provide timely progress reports and must follow good documentation practices including accuracy, legibility, defensibility, traceability, with evidence of appropriate approvals and version control.
  • Work with cross-functional teams (sales, legal, technical, finance, contracting) to gather necessary information and develop comprehensive proposals that align with client needs and company capabilities, including questionnaires, compliance and cross reference documents. Ensure all content is clear, compelling, and aligned with company capabilities.
  • Engage with internal departments (sales, marketing, legal, finance, contracting) to ensure that proposals are accurate, comprehensive, and aligned with the company's goals that require a high level of quality, attention to detail and appropriate levels of review.
  • Review and ensure that proposals fully comply with RFP instructions and client requirements. Perform thorough compliance checks and quality assurance on all proposal materials before submission.
  • Maintain a detailed record of all RFPs, including RFP Tracker for status tracking, timelines, and deadlines. Prepare reports on proposal progress, outcomes, and feedback for continuous improvement. Proofreading proposals for content, grammar, style and formatting. Develops and maintains a pipeline tracker for current and future RFP's, working proactively to identify and target new opportunities.
  • Establish and manage timelines for proposal development, review, and submission, ensuring on-time delivery. Must work well under deadlines.
  • Serve as the point of contact for internal stakeholders and clients throughout the RFP process, providing updates and clarifications as needed.
  • Assist with post-submission activities, such as clarifications, presentations, and follow-up questions.
  • Continuously assess and refine the RFP process and content library. Recommend and implement process improvements, tools, and templates to increase efficiency, consistency, and quality in future proposals.
  • Help maintain and update a library of templates, responses, and best practices to be used for future opportunities.
  • Work on special projects as assigned



Knowledge & Skills

  • Experience with proposals in response to RFPs from customers, IDNs, and GPOs.
  • Strong attention to detail and ability to manage multiple projects simultaneously.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with proposal management software (e.g., RFPIO, RFP360) is a plus.
  • Strong organizational and project management skills, able to effectively prioritize assignments and competing deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and work with minimal direction and work cooperatively with various departments and stakeholders establishing & maintaining relationships with individuals at all levels of the organization.



Minimum Qualifications, Education & Experience

  • Must be at least 18 years of age
  • Bachelor's degree in business, marketing, economics or related field or equivalent experience. MBA is a plus
  • 1-3 years' experience in Contracting preferred with a minimum of 1 years of experience in the Medical Industry
  • General knowledge of manufacturing, sales and distribution processes



Work Environment

  • This is largely a sedentary role.
  • This job operates in a professional office environment and routinely uses standard office equipment.
  • Typically requires travel less than 5% of the time
