Job Description:

Who We Are:


The Contracts Department is responsible for leading 'cradle-to-grave' contract review, negotiation, and administration activities supporting SwRI's technical divisions.


Objectives of this Role:


  • Responsible for patent reporting and client closeouts in accordance with contractual requirements, internal policies, and Client requests.

  • To achieve success applicant will need to interpret contractual requirements that determine reporting requirements.

  • Upon successful training for patents and close-outs, the position will assist with other data group requirements such as limitation of cost report and entry of project record sheets to SwRI cost accounting system.


Daily and Monthly Responsibilities:


  • Track patent requirements using internal system "SwRI Tracker".

  • Run daily reports of requirements and coordinate report content with program manager/contract specialist & section management.

  • Attention to detail is a must to accurately report; excellent communication skills are necessary to coordinate responses and formulate responses.

  • Will use Word & Excel in tracking patents and preparing reports.

  • Requires excellent grammatical/spelling skills and acceptable presentation skills in letter format, package documentation, etc.

  • Closeout reporting will require applicant gather and compile all of the necessary reports to successfully complete the closeout request. This will involve learning to use the SharePoint filing system and learning how to search the project cost system (PCS).

  • Upon successful report compilation, applicant will be required to release package to client and copy all pertinent parties.

  • Applicant will also be required to accurately name and consistently upload documents into SharePoint.

  • Must possess a positive/team attitude.


Requirements:


  • Requires a high school diploma or equivalent. College coursework in an administrative capacity desirable.

  • 2-4 years: Incumbents should have basic knowledge of administrative tasks, terminology and standard office procedures and equipment. They should also have a working knowledge of Office 365 Word and Outlook. The ability to pay close attention to detail and work well with others a plus.

  • 2-4 years: Ability to perform more complex tasks in word processing, database, and spreadsheet software, and be able to find and correct errors and pay a high level of attention to detail.

  • 2-4 years: Excellent communication and interpersonal skills will be required to achieve success in the position. The ability to network with other cost centers/divisions will be instrumental to overall success.

  • 2-4 years: Multi-tasking and time management skills are required.

  • A valid/clear driver's license is required.
