Job Summary:

The Administrative Assistant I will provide expert administrative support to help administrators achieve departmental goals through effective liaison activities, daily office management coordination, and the implementation of programs and projects.


Essential Duties and Responsibilities:



  • Maintains day-to-day administrative responsibilities for the office including answering calls, responding to department emails, checking department voicemails, submitting maintenance requests, and scheduling meetings.

  • Will assist with specialized projects that require significant attention to detail.

  • Assists with budget implementation and office ordering.

  • Supports activities of all areas of Engineering Success Services (ESS) .

  • Serves as first point of contact for ESS office, greets students, employers, and alumni by providing superb customer service.

  • Provides management of office keys, records retention, and business continuity planning.

  • Tracks and assists with maintaining various projects and documentation.

  • Performs various coordinating tasks to assist with meeting logistics, including room scheduling, ordering food, arranging chairs, tables, marker boards, AV equipment, etc.

  • May assist with training and onboarding of new student employees.

  • Other duties as assigned.


Minimum Qualifications:



  • High school diploma or GED with three (3) years of administrative and clerical experience.





Preferred Qualifications:



  • Bachelor's degree

  • Proficient in Microsoft Suite.

  • Experience with Canvas (Learning Management System).

  • Experience with PeopleSoft.


Knowledge, Skills and Abilities:



  • Basic principles of customer service.

  • Prepares clear and concise reports, correspondence, and other written materials.

  • Conflict resolution, using tact, discretion, initiative, and independent judgment within established guidelines.

  • Researches, compiles, and summarizes a variety of informational, financial, and statistical data and materials.

  • Organizes work, sets priorities, meets critical deadlines, and follows up on assignments with minimum direction.

  • Applies logical thinking to solve problems or accomplish tasks.

  • Understands, interprets, and communicates complicated policies, procedures, and protocols.

  • Effectively uses automated systems including personal computers and office/specialized software packages.

  • Utilizes techniques in effective interpersonal communication.

  • Knowledgeable with University of Texas at Arlington policies and procedures.
