Job Summary

The University of Chicago Graham School is seeking a dedicated and detail-oriented Advancement Associate to support its fundraising efforts. Reporting to the Director of Advancement for the Graham School, this individual will work closely with the Advancement team to ensure the smooth execution of donor engagement and stewardship activities. The Advancement Associate will play a key role in supporting fundraising initiatives, tracking donor progress, and ensuring efficient data management, while also providing crucial administrative support for events, correspondence, and annual giving campaigns.


In this role, you will assist in the preparation of donor meeting materials, track fundraising activities, and contribute to research on potential donors. You will maintain accurate records in the university's CRM, help with reporting and data analysis, and ensure that donors receive appropriate acknowledgment and recognition. The Advancement Associate will also offer essential support with development-related events, managing budgets, and attending team meetings to foster a collaborative and effective work environment.



Responsibilities



  • Assists in preparing materials for donor meetings, including briefings, presentations, and follow-up reports.

  • Tracks and reports on fundraising progress, including processing gifts and ensuring proper acknowledgment and recognition.

  • Supports fundraising efforts by researching potential donors and maintaining donor records.

  • Assists with correspondence, including newsletters, appeals, invitations, and event materials.

  • Helps with the preparation and execution of annual giving campaigns and other fundraising activities.

  • Maintains accurate records of constituent contact information, interactions, and contacts within Phoenix CRM.

  • Assists in generating varied reports.

  • Helps monitor progress toward fundraising goals and assists with data entry and analysis related to portfolio management.

  • Assists with donor stewardship and ensures proper acknowledgment and recognition.

  • Provides support for the planning and execution of events as needed.

  • Provides support with budget management, purchasing, and reconciling expenses.

  • Participates in various team and staff meetings throughout the year as an engaged member of the team.

  • Drafts informational and marketing materials for review for assigned programs. Assists in developing support materials for specific fundraising activities.

  • Plans and coordinates activities of volunteer and support groups. Recruits members and provides guidance and support to leadership activities.

  • Performs other related work as needed.
