Job Description:


Job Purpose: This position is responsible for general and technical clerical computer duties and processing related to the Records Office.





Essential Functions



  1. Understand and effectively communicate Records processes, forms, and required documentation.

  2. Process incoming documents related to Records:

  3. FERPA, Address Change, Name Change, etc.

  4. Process hard copy transcripts.

  5. Review e-transcripts requests on SHAETOR

  6. End of term transcript processing including for the Nursing Program and Dual Enrollment

  7. Process Enrollment Verification

  8. Process change of Major

  9. Contact individuals or agencies to solve issues related to documents.

  10. Manage the Records e-mail.

  11. Send correspondence as required including assisting with end of term student notifications.

  12. Coordinate scanning, indexing, and disposal of received documents

  13. Review applicants for necessity of placement

  14. Download college transcripts and record on SOAPCOL

  15. Assess transfer student transcript and build appropriate DSP codes on SOATEST.

  16. Maintain an ongoing understanding of the federal, state, and institutional regulations regarding enrollment services

  17. Efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.) and student information system accurately and effectively.

  18. Assist in processing 100% back outs and grade changes.




Supplemental Functions



  1. Work with college personnel with various questions and problems.

  2. Provide good customer service to students, college employees, and the community served by the College.

  3. Perform other work-related duties as assigned.

  4. Handle multiple tasks simultaneously

  5. Ability to use sound judgment in working with people and in decision-making.




Education, Training and Experience Required



  1. High school diploma or equivalent.

  2. One (1) year college.

  3. Minimum 2 years general clerical and/or data entry.

  2. Must demonstrate the ability to relate to a diverse faculty, staff, and student population.

  5. Must demonstrate the ability to use PC software applications, including word processing.

  6. Must demonstrate the ability to give attention to details for accuracy and have superb organizational skills.

  7. Must demonstrate the ability to use sound judgment in working with people and in decision-making.

  8. Must demonstrate the ability to maintain confidentiality of records and information.




Working Conditions



  1. Must be able to sit long periods of time using a computer.

  2. Occasionally required to lift, bend, and stoop.

  3. Normal sitting and movement in an office environment.

  4. Overtime and flexible work hours may be required.

  5. Travel to campuses and schools in the nine-county serve area and to other locations for meetings and other job-related activities may be required



Hiring Salary Range: $32,000- $38,390



This position is based at the Columbia, TN Campus.
