Position OverviewThis is a 1.0 FTE appointment serving the School of Social Welfare at the University of Kansas, responsible for handling administrative tasks to support the Dean and the mission of the school. The work in this position provides high-level administrative support to the Dean in the School. The work is determined daily by what is needed; flexibility is a must in this work. This position works independently and is part of supporting the School's leadership team. We seek a motivated, detail-oriented team player with project management experience. Job Description75% Administrative Support to the Dean in Social Welfare: Provides support to the Dean as requested, including but not limited to:
Engaging in front line troubleshooting and problem solving for the Dean's office
Reviewing, analyzing, and managing initial workflow of the Dean's communications
Screening, prioritizing, composing and directing verbal contacts and correspondence for the Dean
Managing the Dean's Outlook calendar and inboxes as needed
Managing the Dean's travel and submission of all necessary documentation
Coordinating communication between the Dean's office and faculty, staff, students, and constituents inside and outside of the School
Maintaining confidential personnel records for the Dean's office
Conducting specific research projects as requested
Collecting, collating, editing, formatting data and content for reports
25% Project management: Provides administrative support to the School of Social Welfare, including but not limited to:
Planning, coordinating and executing administrative events, including faculty search arrangements
Managing consultant visits including assisting with travel and payment arrangements
Reviewing/analyzing enrollment and academic data, preparing reports as needed
Assisting with management of REDCap data collection and updates to keep the system relevant. This will track multiple administrative processes such as research activities, faculty merit and workload, startup and offer letter activities, and other data collection as deemed necessary
May provide leadership to student employees
Required Qualifications
Bachelor's degree and seven years of office experience or High School diploma or GED equivalency and 10 years of office experience, including experience in an executive office
Previous experience in managing data and in customer service, as indicated in application materials
Preferred Qualifications
Previous experience working in a higher education setting with faculty and staff, as evidenced by employment history
Previous experience with project management, as evidenced in application materials
Previous experience researching and interpreting state and university guidelines, policies, and procedures, as evidenced in application materials
Previous experience with computer systems including proficiency in Microsoft Office products, as evidenced in application materials
Demonstrated organizational skills, as evidenced by application materials
