The Executive Assistant will provide high-level administrative support, focusing on managing capital expenditure (CapEx) projects, data analysis, and executive presentations. This role is integral in ensuring the efficiency of business operations, tracking cost savings, and facilitating strategic initiatives. The ideal candidate will have a strong background in project management, data organization, and financial analysis while excelling in executive communication and presentation preparation.
Key Responsibilities:
Provide high-level administrative support to the CEO & GM while working collaboratively with & supporting the Director of Customer Service and Director of Operations as needed.
Oversee and manage capital expenditure (CapEx) projects a few times a year, typically in the few hundred-thousand-dollar range, coordinating with vendors, engineering, and operations teams.
Track and analyze project costs, ensuring cost savings and financial accountability.
Develop executive-level presentations and reports, using PowerPoint and data visualization tools.
Gather and interpret data to identify insights and support business decisions.
Maintain organized documentation for regulatory compliance and internal reporting.
Assist in developing and implementing Standard Operating Procedures (SOPs) to optimize business processes.
Support cross-departmental projects and strategic initiatives, ensuring alignment with company goals.
Organize and track project deliverables, ensuring timely completion.
Conduct regular meetings with stakeholders to track project progress and address roadblocks.
Implement and oversee metric tracking boards (MDI) for continuous improvement.
Act as a key liaison between executives and various departments, ensuring smooth communication and project execution.
Qualifications:
Experience: 5-10 years of relevant experience in an administrative or project management capacity.
Industry Background: Manufacturing or production experience preferred.
Education: Bachelor's degree is preferred.
Technical Skills: Strong proficiency in Tableau, Excel, and PowerPoint; experience with Visio and ability to read blueprints is a plus.
Project Management: Demonstrated ability to manage multiple projects simultaneously, track results, and deliver insights.
Communication Skills: Strong written and verbal communication skills with the ability to present to top executives.
Analytical Ability: Ability to analyze data, identify trends, and translate findings into actionable strategies.
Soft Skills: Highly organized, detail-oriented, and proactive, with strong collaboration and problem-solving skills.
Lean Methodology: Experience with Lean processes or continuous improvement initiatives is a plus
