Description:

Responsibilities

Basic PurposeProvides administrative and clerical support to the Land Resources Department and staff. Coordinates and maintains computerized and manual records systems which functions include but are not limited to the scanning, document input, indexing, recording and retrieval of all land related documents. Monitors information and ensures records are stored in compliance with the company’s record retention policy. Coordinates the submittal and processing of tentative and final subdivision maps. Essential Duties and ResponsibilitiesCoordinates and performs records and systems related functions to include data entry, scanning, optical character recognition of documents, uploading files, auditing, and maintenance of files. Ensures data entered into systems and databases is accurate. Maintains Electronic Document Management System; trains users; and updates information stored in systems as necessary. Monitors information and legal retention. Provides quality and control measures to ensure accuracy of data. Scans physical files and documents, converts documents into optical character recognition text, and upload into Company’s electronic document management system. Monitors and maintains land records to ensure all records are filed, inventoried and indexed. Ensure the records room is organized in order to retrieve needed documents. Processes requests for records retrieval and storage. Maintains an accurate listing of all land resources documents that have been archived off site. Reviews and coordinates the review of all tentative and final maps. Manages and completes departmental projects as assigned. Processes expense reports, coordinates and schedules meetings for department personnel. Responsible for inventory and ordering of materials and supplies needed for the department. Provides excellent customer support for internal and external customers. Ensures all compliance aspects of position are known and followed; understands and complies with all policies, codes and regulations applicable to position and company. Performs related duties as assigned.

Requirements

Essential Education, Skills, and Environment
Associate’s degree from an accredited school and 2 -4 years of related experience. Must have a valid driver’s license to drive company vehicles. Candidates that do not possess an associate’s degree must have a minimum of 4 years of related work experience. Must have a valid driver’s license to drive company vehicles. Specialized Knowledge and Skills
Demonstrated an understanding of computerized and manual record keeping and systems. Demonstrated knowledge of administrative practices and procedures. Must have knowledge of company policy and records retention schedules. Demonstrated communication, organizational, attention to detail, confidentially, and team player skills. Equipment and Applications
PCs, document scanning, word processing, spreadsheet and database software. Work Environment and Physical Demands
General office environment. No special physical demands required.

Compensation

$24.76 to $29.13 per hour. Up to 6% Short Term Incentive Plan target opportunity at the discretion of the company. This is a non-represented position.
