The Media School at Indiana University is built on a decades-long tradition of journalism, film, media, and communication at one of the nation's premier public universities. Our programs focus on teaching, researching, and creating media from academic, creative, and professional perspectives. The Media School is committed to building and supporting a strong community of students, scholars, practitioners, and staff. This position reports to the Director of Student Services.



Job Summary



Department-Specific Responsibilities


  • Coordinates all administrative aspects of The Media School's domestic and international undergraduate travel programs, including processing student applications, managing all trip logistics, coordinating site visits, completing required reports and providing trip orientations for employee and student travelers.

  • Maintains extensive records related to each trip, with careful attention to detail.

  • Serves as trip leader for 2 short domestic student experience trips each year.

  • Coordinates the logistics of student services events, including space reservations, speaker scheduling, hospitality ordering, event setup, etc. Events will include Welcome Week, Care Week, First Wednesday programming, etc.

  • Represent The Media School at occasional outreach events.

  • Serves as administrative liaison for Media School student organizations.

  • Collaborates with the entire student services, recruitment, and academic operations teams to support the school's mission.

General Responsibilities


  • Assists with administrative needs related to the daily operations, planning, and implementation of student programs. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.

  • Serves as a liaison to campus partners for cross-departmental student programming, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.

  • Provides assistance to program participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports.

  • Greets students and/or program participants; may assist with program check-in and check-out. Provides directions, support, and information to program participants.

  • Assists with daily scheduling, training, and gathering program feedback. May prepare and disseminate handouts, presentations, or other program materials.

  • Assists with ordering or creation of promotional materials to encourage student participation.

  • Takes on tasks of increasing complexity, such as performing benchmarking research of student programming at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness.

  • May provide guidance to other Student Programming Coordinators.

EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED)


Preferred



  • Bachelor's degree

WORK EXPERIENCE



Required



  • 4 years in office environment, higher education, or related field


Preferred



  • Experience working with undergraduate students

  • Experience making complex travel arrangements, planning events, or managing similar projects

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Franklin Hall


Indiana University Bloomington campus.


This position is eligible to work a hybrid schedule (mix between 2 remote workdays and 3 in-person workdays), subject to change in the future based on university policy and business needs.



Advertised Salary



$42,000- $48,000 annually



Work Hours



This position generally works during business hours but occasionally supports evening and weekend events that are scheduled well in advance.
