ABOUT THE ROLE

The Administrative Coordinator will provide administrative support, high-level event planning, and project management assistance to the Director of Administration (DofA) and other managers as requested and authorized by the DofA. This role will also be responsible for supporting the successful execution of all internal and external client service touchpoints, thereby supporting the firm's client experience initiatives. Ensures client service and satisfaction are attained in all areas of position.

ESSENTIAL FUNCTIONS

  • Responsible for the client experience at all touchpoint areas, including reception, conference center, and attorney offices, and these functions may be supplemented and revised as needed.

  • Provide administrative support and project management assistance to the DofA.

  • Support the daily delivery of the client experiences with a focus on preference and personalization for our internal and external clients, including the arrival, in-office, and departure processes.

  • Play a supporting role in VIP meeting preparations, including scheduling and hosting important pre-event tie-down meetings as necessary.

ADMINISTRATIVE SUPPORT RESPONSIBILITIES

  • Provide administrative support and project management assistance to the DofA.

  • Handle administrative tasks related to staff and attorney arrivals and departures, including orientation schedules, processing I9s, and updating directories, maps, etc.

  • Organize and manage workflow in support of the DofA, and coordinate/schedule meetings and appointments as appropriate.

  • Prepare and edit routine documents and communications; assist in the preparation and distribution of often highly confidential material. Prepare and edit PowerPoint presentations, Excel spreadsheets, Word documents, and Visio charts.

  • Coordinate the planning and booking of business travel for the DofA and prepare travel and expense reimbursement forms, as requested.

  • Develop and maintain a detailed calendar of meetings and activities regarding the office such as training classes, partner and associate meetings, managerial meetings, new hire orientations, exit interviews, and other relevant administrative dates. Distribute calendar and agenda as appropriate.

  • Schedule departmental and managerial meetings for the DofA and Administrative Manager; prepare agendas, attend meetings, and track action items.

  • Serve as administrative and client experience liaison to various departments, including Employee Relations, HR, Finance, Records, Operations/Facilities, Recruiting, and Research Services, etc.

  • Manage the service recognition program and activities.

  • Keep track of invoices and serve as liaison between vendors and the accounting department; process check requests, expense reports, and other financial templates.

ADMINISTRATIVE PROJECT SUPPORT

  • Assume primary responsibility for “special projects” relative to position and overall areas of responsibility as may be assigned by the DofA and/or Managers.

  • Participate strategically on office and firmwide policy and procedure development projects, as appropriate.

  • With DofA, identify areas for office development and coordinate same.

  • Ensure that appropriate levels of review and confidentiality are applied.

ABOUT YOU

  • Four-year college degree preferred.

  • Minimum 2 years previous administrative support experience required

  • Minimum of four years of experience in a similar position in a client service-focused industry to include coordinating client service functions, greeting guests, and providing superior customer service/client experience to visitors.

  • Experience in the hospitality industry strongly preferred.

  • Strong proficiency with Word, Excel, PowerPoint, and Outlook required. Familiarity with HRIS, Visio, and financial management systems helpful. Prior budgeting and accounts payable experience preferred.

Where required by law, salary ranges are stated below. Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant's skills and prior relevant experience; and certain degrees, licensing, and certifications.

Washington, D.C. salary range: $58K to $80K
