Job Scope

The Branch Operations Coordinator (BOC) acts as the central command for the local Acumed sales branch. They support the branch sales representatives by consolidating administrative tasks, managing branch inventory, and organizing surgery set movements. The BOC will maintain case schedules, manage branch inventory, track key indicators, and facilitate set movements. The BOC must be self-motivated and customer service oriented with good time-management skills and the ability to direct action as they are the central point for branch operations and exceptions that arise for the sales team in daily business.

The BOC acts as a “right hand” to the Branch Manager for all things operational in the branch territory. However, they will report into the Field Operations Team, from which they will receive tools, process standards, and performance targets.

Responsibilities

  • As the point of contact for local branch operations, receive and fulfill the customer service needs of field sales representatives.
  • Assess and track product inventory levels and usage rates in the field and at customer sites. Review with sales representatives and Branch Manager to recommend the placement of inventory which will maximize set utilization.
  • Work closely with Branch Manager and Regional Inventory Analyst to execute and support sales and inventory targets.
  • Administer case schedule by ensuring all known branch cases are in the calendar by transportation cutoff each day. Manage branch case calendar and allocate sets to case accordingly, organizing transportation as necessary.
  • Manage set movement and arrange daily last mile logistics for set delivery and collection to meet case schedule.
  • Maintain set location tracker, inventory records and perform routine audits of central stock.
  • Review set performance reporting and metrics to ensure effective utilization of consigned field inventory and provide recommendations for optimization actions.
  • Manage and control central branch inventory​, including receipt of daily shipments, restocking of returned sets​.
  • Review sales team inventory needs and facilitate the request process for additional consignment inventory.
  • Actively work with Regional Inventory Analyst to resolve inventory discrepancies and inventory maintenance activities.
  • Support annual physical inventory audit led by Field Audit Team to ensure the accuracy of consigned inventory.
  • Identify and develop process improvements for local operations and work with the team to implement.
  • Communicate frequently and effectively with Branch Manager and sales reps.
  • Support and execute use of integrated technology and inventory management solutions.
  • Support exception resolution as the primary liaison for AR, Business Services, PO collections, and Field Inventory
  • Act as point of contact for PO collection support.

Qualifications

  • Bachelor’s degree in business, supply chain or related field required.
  • Minimum 2 relevant work experience, healthcare or medical device industry experience preferred; 1 year of relevant Acumed experience may count as 2 years outside work experience.
  • Exceptional English verbal and written communication skills.
  • Excellent interpersonal skills with the ability to work well independently and interdependently.
  • Strong problem solving and analytical skills using data and metrics
  • Excellent negotiation skills with demonstrated ability to collaborate.
  • High level of attention to detail.
  • Maintain a high level of professionalism.
  • Motivated and self-disciplined with the ability to complete critical tasks with a sense of urgency.
  • Exercise sound judgment with an ability to independently conduct research, analyze and discern the cause of discrepancies and logically resolve issues.

  • Proficiency with MS Office (Excel, Outlook and Word).

*Position can either be located in Chicago, IL or Philadelphia, PA

Target Compensation: $74,368.38 – $90,894.70
