Administrative Coordinator
Location:San Leandro
Pay$23-$25/hr.
Customer Relations
Follows all confidentiality rules regarding customer information.
Takes ownership of job assignments based on skill set and experience, and obtains approval from a supervisor or manager for any additional manpower needed.
Assists with client inquiries and answers questions regarding payment history, account updates, and customer service issues.
Maintains a high level of professionalism in verbal and email communication, focusing on problem-solving and achieving win-win interactions.
Promotes excellent customer service to establish solid relationships with customers.
Handles customer complaints in a timely manner and escalates pertinent matters to management as needed.
Interacts courteously and professionally with all existing and potential customers via in-person, phone, fax, and email, ensuring complete satisfaction in all operational matters.
Maintains excellent customer service with vendors, sales, transportation, and operational teams to foster strong relationships.
Coordinator Duties
Receives work requests from customers and salespeople via phone, fax, email, and the Web Portal, verifies accuracy and completeness, and obtains missing information if necessary.
Takes ownership of customer relationships to ensure satisfaction with all services, aiming for a 100% quality rating.
Enters orders in the Order Entry System and confirms and converts jobs according to policy.
Produces necessary paperwork for crews to perform daily functions on-site, including bills of lading, maps, timesheets, etc.
Creates move files and maintains accurate hard copy records of projects.
Completes all paperwork accurately and neatly, submitting it to operations daily, including timesheets, bills of lading, tick sheets, inventories, and disposal forms.
Reviews all returned paperwork from the field daily for accuracy and completeness, including bills of lading, timesheets, and safety huddles, and communicates errors to management.
Exports all crew hours in Order Entry timely and accurately each day.
Communicates possible claims to the claims manager daily.
Coordinates all storage in/out with the Warehouse Coordinator daily.
