General Schedule:

Typically, Monday through Friday from 8 am to 5 pm at UCO's main campus in Edmond, Oklahoma.


Position Overview:

Manage and organize office operation, including budgets, procedures and personnel. Supervises office staff and participates in administrative functions of the work unit. Interprets and advises internal and external customers on departmental or program policy and guidelines. Must be able to perform queries, standard and modified reports from the university systems, and must be able to produce documents using Microsoft Office. Assist leadership in program, event and project planning and development. Interprets, monitors, and analyzes information regarding operating policies and procedures. Analyze and resolve administrative services issues and needs. Coordinate with other administrative staff on all intra-unit operations and procedures. Utilizes independent judgement and discretion and operates without direct supervision.
Department Specific Essential Job Functions:

Responsible for daily operations in the Forensic Science Institute (FSI) and the forensic area of the STEM building (FSI STEM) managing and overseeing complex administrative functions according to current university policies including the handling of confidential matters with discretion.

  • Direct supervision of all student workers and is responsible for all hiring and documentation involved with FSI student workers.

  • Continuous review of all operational processes to ensure efficiency and decrease redundancy. Provides guidance with regard to university policies and procedures.

  • Serves as the building captain and reports and follows through on all maintenance issues.

  • Serves as a point of contact for visitors and students and directs them to the correct personnel as needed.

  • Serves as point of contact for all faculty and adjuncts for supplies or other course-related material and maintains inventory.

  • Prepares purchase requisitions, tracks delivery of purchases, and payment of invoices.

  • Maintains and assists with Pcard transactions and reconciliations.

  • Coordinates travel card program.

  • Arranges and prepares all travel for faculty, staff, and students.

  • Maintains inventory records and equipment service for Forensic Science Institute/FSI STEM.

  • Assists faculty in scheduling needed repairs and maintenance for equipment throughout the FSI and FSI STEM. Utilizes FAMIS for reporting and ensures all repairs are completed as needed.

  • Plans and prepares for meetings, special events, and trainings for partners of the FSI such as Law Enforcement, FBI and OSBI. Ensures building availability and security for events that occur outside of business hours and remains on site during these off-hour events.

  • Manages collection of cash for both forensic science student organizations and oversees special events with regard to both. Clarifies UCO policy as needed.

  • Provides notary services to students requiring background checks as part of their capstone requirements.

  • Completes contracts and arrangements for guest speakers.

  • Manages the inventory of the wildlife collection currently on permanent loan from the U.S. Fish and Wildlife Service Forensic Laboratory. Assists faculty with reports as required by federal authorities for housing the collection.

  • Maintains the firearm collection and ensures compliance with FSI Firearms policy.

  • Maintains Memorandum of Understanding (MOU) file.

  • Creates and updates all FSI forms, brochures, and recruiting documents to ensure compliance with FEPAC accreditation.

  • Serves as project manager for new construction projects or renovations.

  • Develops new partnerships with agencies, allowing use of the Forensic Science Institute facilities and providing staff and IT support as required.

  • Develops new partnerships with agencies for practicum sites.

  • Coordinates all FSI and FSI/STEM tour requests.


Experience Required:

Requires a university degree or equivalent work experience that provides knowledge of and exposure to fundamental theories, principles, and concepts. Requires the application of expertise in a chosen field to achieve results. 5+ years of experience with leading planning, including program development and innovation, program prioritization, and assessment. Appropriate profession accomplishments and credentials.
Experience Preferred:

Five years of experience in office management, policies and procedures. Two years of bookkeeping or financial tracking experience. Experience in a higher education environment
Knowledge/Skills/Abilities:

Keeps abreast of changes in university policies and procedures. Understands and operates well with the complexities of a fast-paced, high stress environment. Ability to maintain integrity and confidentiality of department.
