Qualifications



RS&H is currently seeking a Document Control Specialist 1 to join our team in the Moving I-4 Forward Program Office in Celebration, FL.

 

 

As part of the team, you’ll be coordinating and administering document management and general administrative activities. You will support the team with other day-to-day tasks related to project administration and document and records management on the project. Work with the team to establish and maintain a Project Management Information System.

 

Primary Functions

  • Ability to analyze and solve problems related to document control, management, versioning, archiving and retrieving.
  • Ability to prioritize and organize work efforts for oneself.
  • Ensures compliance to departmental policies and procedures.
  • Possesses interpersonal skills in dealing with multiple departments and personalities to achieve success.
  • Ability to speak effectively before the client, contractors, or employees of the organization.
  • Ability to understand a project delivery program in terms of potential documents and its filing requirements, specific to terminology and the stage of the project.
  • Possesses competent computer skills - MS office product suite includes Excel, Word, Access, PowerPoint, Outlook, etc.
  • Ability to adopt existing filing protocol process and recommends opportunities for system improvements.
  • Provide document management support to internal and external stakeholders within SharePoint and other Electronic Document Management Systems.
  • General administrative responsibilities within the document control function including data entry, providing training of new users, and maintaining internal process documentation.
  • May take department meeting minutes.

Education/Experience

  • Minimum of 2 years experience in Document Controls.
  • Proficient with MS Office Suite including Word, Excel, Powerpoint and Outlook.
  • Experience with engineering, architectural, and construction documents is preferred (i.e., maps, drawings, technical specifications, etc.).
  • Strong communication skills and understanding of technical terminology.
  • Familiar with SharePoint and other Electronic Document Management Systems/Project Management Information Systems, preferably Procore.
