Description: The Payroll Coordinator is tasked with ensuring the precise and prompt processing of payroll for hourly, salaried, and executive employees. This role requires adherence to various state and federal employment tax laws and company policies.
Key Duties and Responsibilities:
Audit and adjust timecards for accuracy and compliance with company policies and legal requirements, ensuring supervisory approval.
Execute weekly, semi-monthly, and individual payroll batches for multiple states, verifying the payroll system against attendance records for accuracy.
Review new hire entries, direct deposit setups, and process terminations, ensuring accurate reporting and final paychecks.
Verify and correct status and payroll changes entered by HR and Employee Self-Service.
Handle retro payments and manual adjustments as needed.
Manage access to the payroll system for managers, supervisors, and users.
Review 941 reports, quarterly reports, new hire compliance, and other governmental payroll and tax reports.
Collaborate with third-party administrators to set up new department and payroll codes.
Participate in annual audits, including 401(k), financial statements, bank, customer, and worker's compensation audits.
Generate and distribute payroll reports to various departments, including labor distribution, general ledger entries, time-off accruals, and cost analysis reports.
Ensure timely uploads to third-party benefits systems.
Train new supervisors on the time and attendance system and provide ongoing support.
Maintain garnishment, lien, and child support order files, ensuring compliance with IRS and withholding regulations.
Manage 401(k) loan schedules, deduction entries, and goals.
Distribute weekly and salaried pay stubs.
Track deduction arrearages for employees on leave (FMLA, STD, LOA).
Submit year-end manual checks for taxable earnings paid outside the payroll system.
Perform other duties as required.
Required Skills and Qualifications:
High School Diploma.
2-5 years of recent payroll processing experience.
Strong knowledge of FLSA, FMLA, payroll, and IRS regulations.
Consistent and reliable attendance.
Experience with payroll processing software.
Proficiency in Microsoft Office, especially Excel.
Ability to maintain confidentiality.
Ability to handle changing priorities and short deadlines without losing composure.
Strong multi-tasking skills, attention to detail, and initiative.
Ability to work well under pressure and meet strict deadlines.
Strong verbal and non-verbal communication skills.
Preferred Skills and Qualifications:
Experience with general ledger accounting.
Associate's degree, payroll certifications, or other relevant education.
Prior experience with ADP.
