Summary
The Sales Operations Specialist plays a crucial role in supporting Alliance membership within the organization. This position collaborates closely with Business Development, Account Management, Marketing, and Operations teams to drive growth and ensure the successful completion of various functions and projects.
Key Responsibilities
Member Responsibilities
Works closely with the Business Development and the Account Management teams on the acquisition and retention of The Alliance members.Ensures the smoothest transition possible from Business Development to Account Management, as well as into The Alliance systems for timely claims processing and servicing. Executes the onboarding, change, and termination processes for members. Builds accurate steering and or tiering for member networks which directly impacts claims payment.Documents and maintains Sales Operations processes. Works with external stakeholders (i.e., agents, Third-Party Administrators (TPAs) and new client members) to collect necessary information.Works with Sales Operations and Technology Team and other internal stakeholders on new technologies and system changes to optimize the member experience.Prepares business documents including correspondence and presentations for client meetings on occasion.Provides excellent customer service to internal and external customers by promptly addressing inquiries and resolving issues.Customizes materials by client.Supports larger-in-scope departmental annual projects.
Data Integrity:
Responsible for the data integrity within The Alliances (Member) CRM system.Enters data in CRM and maintains records to ensure the accuracy and completeness of member data and records that are part of our members self-funded solution.Conducts audits and runs maintenance reports on CRM data. Researches problems and involves others as necessary to resolve data issues.Fulfills data requests and conducts research for others as it pertains to CRM data.Stays aware of business needs and process changes and proactively works with the Manager of Sales Ops and Technology on system enhancements.
Processes & Procedures:
Documents operating procedures, workflows, and process steps related to membership for activities that keep operations between Business Development, Account Management and other key areas running smoothly. Regularly reviews business processes and streamlines or re-engineers as needed to optimize operational efficiency. Collaborates with cross-functional teams to implement and monitor the adherence of established processes.
Coordination & Administrative Responsibilities:
Keeps staff informed of project timelines and competing needs. Coordinates recurring departmental or special project meetings. Prepares meeting agendas, presentations, and supporting materials. Maintains a centralized repository of relevant documents, ensuring easy access and organization. Coordinates and schedule training sessions for team members on departmental processes and technical platforms sales perations supports. Assists in the development of training materials and resources. Coordinates with subject matter experts and trainers to deliver effective training programs. Ensures Business Development and Account Management teams have access to the latest forms and materials supporting operational functions. Manages the Sales team's communication channels, such as email distribution lists and collaboration platforms. Conducts as needed specific research and market intelligence gathering functions. Assists Sr. VP of Business Development and Strategic Marketing with preparation of proposals, contracts, meetings and trainings. Coordinates team activities such as meetings, setting travel arrangements and venue coordination. Reviews, stores, references documents defined as legal documents and stored in our compliance area.
Miscellaneous Duties
Work collaboratively with required cross-functional teams including Business Development, Account Management, Product Development, Marketing and other internal groups to meet their needs for marketing initiatives.Trains and supports Sales Operations team members as they become acclimated to the department responsibilities. Review sales-related communications, including newsletters, announcements, and updates. Supports the activities of The Alliance sponsored events. This may include assisting in the planning of events, working at events, and the transportation of necessary materials.Assists with the coordination of department expenses. Duties include:Acts as purchaser for departmental items.Assists with collecting expense reports and receipt documentation from staff on a monthly basis.Appropriate coding of expense documentation and receipts.Works with manager on the monthly reconciliation process. Ad hoc analysis of expense reporting.
Perform all additional assigned administrative duties as necessary.
