Job Summary
School for International Training seeks an Administrative Coordinator ("Coordinator") position with dual focus supporting the University Relations and Customs and Signature Programs teams.

SIT's University Relations department serves as the primary liaison to U.S. colleges, universities, and mission-driven organizations in support of SIT's enrollment and partnership goals. SIT's Custom Program department works closely with U.S. colleges, universities, faculty, other partner organizations and internal stakeholders to develop and support delivery of custom and signature programs.

The Coordinator provides administrative support and project management assistance for the University Relations and Custom Program teams.

This position requires onsite presence with flexibility to work form home.


Responsibilities

  • Administrative Coordination for University Relations (50%)
  • Work as a team member with University Relations Managers to assist in department records, processes, and activities, including processing billing and payment requests. Responsible for routine and regular data updates and data-entry tasks and projects.
  • Provide administrative support for SIT-sponsored events, including on-campus activities, conferences, and coordinating overseas site and group visits with SIT Academic Directors and university partners.
  • Maintain an organized inventory of SIT recruitment and promotional materials, collaborating with the Marketing & Communications team to update marketing materials.
  • Oversee team event calendar, ensuring timely registrations, materials, shipments, and fulfilling requests for study abroad fairs, graduate fairs, conferences, and university partner events.
  • Serve as administrative coordinator for the SIT Partnership Council.
  • Perform other duties as assigned by supervisor or their designee.
  • Administrative Coordination for Custom and Signature Programs (50%)
  • Work as a team member with Custom Program Managers (CPM) to assist in department records, processes, and activities. Responsible for routine and regular data updates and data-entry tasks and projects.
  • Support CPM's through proposal and contract stage to include: document mail merge, assist with revisions and updates of documents as needed.
  • Coordinate the pre-departure processes for all Custom and Signature programs, to include: data entry, draft pre-departure materials, collect participant confirmation materials, update necessary forms, health insurance registration, coordinate with various departments to set up codes and invoicing, and other tasks related to the pre-departure process.
  • Assist with administrative tasks and reporting associated with closing out completed programs.
  • Provide support with annual cycle preparation to include, updating of document templates and digital filing of program documents and communication.
  • Perform other duties as assigned by supervisor or his/her designee.

Requirements

Experience/Education:

  • Bachelor's degree from an accredited institution and 2 years administrative experience in an office setting.

Qualifications:

  • Strong working knowledge of office operations, policies, procedures, and standard office equipment. Software proficiency in Microsoft Word, Excel, PowerPoint is required; knowledge and experience in Salesforce is preferred. High level of comfort with technology and an interest in utilizing new technologies to increase efficiency.
  • Ability to represent SIT effectively and to work cooperatively with a variety of stakeholders: university and college faculty and staff, students and alumni, and other stakeholders.
  • Excellent interpersonal, written, and verbal communication skills; experience working successfully in a remote team environment; and the ability to use a variety of technologies and virtual platforms.
  • Self-motivation and the ability to work independently and remotely.
  • Occasional physical activities such as lifting boxes of 25-30 pounds, arranging chairs/tables in conference room settings.
  • Excellent organizational and administrative skills, strong problem-solving skills, and the ability to analyze and synthesize information.
