Job DetailsDescriptionThe purpose of your role as an Operational Services AssistantAs the first point of contact for employees and visitors, you will play a key role in creating a welcoming environment and ensuring smooth front desk operations. Primary front desk responsibilities include greeting and directing visitors, answering incoming calls, distributing mail, and reserving conference rooms as requested. Additional responsibilities include processing business card orders, managing office supplies, phone system administration, electronic check-in administration, and building services contact.Receptionist/Front Desk:Answering and routing incoming calls, taking messages; monitoring answering service messages each morning.Greeting clients, owners, subcontractors, and team members who visit the office.Preparing packages for deliveries. Receiving packages and letters as required.Sorting + distributing daily mail.Organization Support:Assisting accounting department with incoming mail, separating and dating.Processing business card requests, ordering stationery and forms.Maintaining office supply inventory and ordering as required.Purchasing card allocations.Coordinating bond requests.Office Support:Cady/Wildix Phone System Administrator: Train new employees on telephone system and maintain companywide phone directory. Assign and transfer extension lines.Swiped-on Administrator (electronic check-in): Maintain and make updates to platform as needed.Monitor Operational Services Inbox and assist with basic requests when needed.Reserve conference rooms and order lunches as requested.Maintain coffee station and assist with routine tidying of the break room.Assist with coordinating janitorial services, carpet and window cleaning, pest control, copier service, postage machine service, vending and coffee machines.General administrative support as requested.
