This position is responsible for the overall administrative functions within the Install Center office; including invoicing, job file management, coordinating with product deliveries and scheduling and coordination of the installation work. Will assist with service office as needed
Essential Duties and Responsibilities:
Responsible for the administration and tracking of all information connected to Product Services, including tracking requests, scheduling of subs, job folder information and invoicing
Determine availability of installers and schedule with agreed upon scope of work and payout for their services
Assemble Job folders including permit info, sub payouts, quoting info, any print info or installation info that is pertinent to the products we are putting in, as well as any other paperwork related to the particular job
Communicate directly with customer or sales team about installation schedule and process
Coordinate delivery of product to coincide with installer schedules
Be direct point of contact for Subs as far as scheduling and payment, create information to get to Lisa A. in order to create checks to pay subs, processing all sub invoices
Serve internal and external customers in person or by phone by providing information as to scheduling jobs or installation process
Be professional in appearance, as well as communication, and treat others that you interact with respectfully and courteously
Help to coordinate paper flow and storage of finished job folders in organized fashion
Help Service Coordinator to manage service scheduling and communications promptly and efficiently.
Any other tasks as assigned by management
Skills Needed:
High school diploma or general education degree (GED).
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, customers, and the general public.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, and area. Ability to apply concepts of basic algebra and geometry.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Be able to communicate clearly in English
