Job Summary
Department-Specific Responsibilities
Acts as office coordinator for the Student Affairs office at IU Maurer School of Law and assists the Dean of Students.
Manages Student Affairs office phone, email, fax, and walk-ins; answers questions and finds solutions.
Schedules and checks in students meeting with the Dean of Students; maintains office calendar; schedules team meetings.
Handles student records.
Provides enrollment verifications, degree certifications, letters of good standing, copies of applications, transcripts, transfer paperwork.
Maintains electronic and physical student files
Tracks student absences and class recordings, responds to requests from students and emails recording requests to faculty.
Manages visiting student applications, assists non-Maurer students with taking law courses.
Supervises office student work-study assistant.
Updates Student Services Canvas site with writing competitions, first-day assignments, syllabi, and announcements.
Assists with student events and programs including printing, RSVPs, outreach, catering, setup/teardown, check-in, graduation regalia, etc.
Keeps track of students of concern.
Processes travel approval and reimbursements for Student Affairs staff.
Assists Dean of Students with the bar exam and bar admission processes by reviewing student/alumni files for character and fitness issues, preparing paperwork for dean's signature, tracking exam takers and completing passage rate reports for the American Bar Association and internal use, assisting students/alumni with paperwork and notarization, researching policies for course compliance, eligibility, etc.
Supports recorder with exams by distributing grade rosters, exam numbers, etc.
Updates alumni contact and employment information.
Provides students with locker assistance, umbrella loans, key loans.
Distributes staff and student mail, updates student mailbox labels.
Manages office information.
Maintains office supplies.
General Responsibilities
Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives.
Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports.
Accurately maintains student records and databases.
Provides directions, support, and information to student organization representatives and other visitors to the department.
Assists with daily scheduling, training, and gathering of student feedback.
May prepare and disseminate handouts, presentations, or other materials.
Assists with ordering or creation of promotional materials for student organizations or departmental needs.
Takes on tasks of increasing complexity, such as performing benchmarking research of student services initiatives at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness.
May provide guidance to other Student Services Coordinators.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
