Qualifications



RS&H is seeking a Project Administrator to join our Major Project Delivery team in Illinois!

 

You will have an opportunity to support our talented engineers by acting as a project coordinator/project assistant on a wide variety of infrastructure projects focused on alternative project delivery utilizing design-build, progressive design-build, and construction manager/general contractor (CMGC) delivery methods. This position supports the successful execution of projects by providing a range of administrative duties. This position applies standard procedures and processes to perform tasks for conventional and complex projects.

Essential Functions:

 

  • Experience with the documentation of construction quantities and payments for interim progress and final completion, and management the consultant contract, including responsibility for accounts receivable, subconsultant management, and client management interface.
  • Ensure that detailed accurate records of work being performed are being collected and maintained
  • Experience documenting material sampling and testing in accordance with the requirements of the contract documents.
  • Experience identifying project risks and coordinating with project stakeholders and client representatives to facilitate resolution of any impediments to the project schedule
  • Provides project budget management and tracking in collaboration with project management and billing staff. Analyzes key financial metrics to ensure the project management team can meet project deadlines and budget objectives.
  • Assists project management team in assembling scope and fee proposals verifying associate labor rates, checking format, and proofreading.
  • Coordinates contract and subcontract execution; amendments to ensure contracts contain applicable signatures and attachments.
  • Coordinates client invoicing in collaboration with project management and billing staff.
  • Leads subconsultant invoice processes, acting as a liaison with project management and billing staff and subconsultants. Reviews subconsultant invoices for accuracy.
  • Monitors, coordinates and controls a project throughout its lifecycle. In collaboration with project management staff, facilitates ongoing financial reviews to identify areas of improvement throughout the project.
  • Assess and provide recommendations to resolve schedule, scope changes or delays to the Project Team.

Minimum Requirements:

 

  • Bachelor’s degree in civil engineering, business management, finance, accounting, or a relevant combination of education and experience for the role
  • Minimum of 5 years relevant experience
  • Preferred experience working with Illinois Department of Transportation
  • Typically requires knowledge and application of basic project controls principles obtained through relevant industry experience.
  • Exerience using P6 project scheduling and planning software
  • Strong work ethic, self-starter and eagerness to learn.
  • Must possess basic analytical and problem-solving skills, as well as strong organizational, prioritization, and oral and written communication skills.
  • Must have the ability to effectively interact with and build strong relationships with clients, customers, contractors, and other key stakeholders.
