Job Description and Responsibilities
We are currently accepting applications from experienced candidates for an Executive Assistant who will report to the Senior Vice President & CHRO and will provide administrative support to them and other Executives. This role involves supporting the SVP & CHRO in achieving corporate goals. You must be able to deal with highly confidential information and work in a fast paced environment. You are highly organized in keeping things on track and will have strong data management and administrative skills.
Provide administrative support such as; prepare & manage correspondence, presentations and reports, and manage calendars
Act as personal representative and point of contact for CHRO, CPO and other executives as required
Book and confirm travel arrangements for executives & other members of department
Manage executives’ expenses ensuring they are completed accurately and in a timely manner through Concur
Perform all responsibilities of HR Business Partner to the HR team, processing personnel and other actions for all HR staff as required
Manage the HR Budget Tracker
Create purchase orders and track and communicate spending against them
Process invoices for vendor payments
Communicate effectively and efficiently, both orally and in writing, to all levels of personnel, customers and vendors
Ability to review all types of data, reports; while extracting, filtering and sorting the data to generate numerous types of reports
Provide guidance and assistance to other Administrative Assistants
Ability to work in a fast paced environment while meeting deadlines
Ability to collaborate effectively and professionally across the organization
Requirements
Five years’ administrative experience at an executive level
One year of experience in related HR role (Business Partner/Generalist/Coordinator)
Bachelors degree in Human Resources, Business or other related area preferred (not required)
Proven ability to act with discretion and confidentiality in all matters
Self-initiative with ability to work with minimal supervision
Strong planning and organizational skills; able to set/meet goals and deadlines
Ability to multi-task and prioritize assigned responsibilities
Excellent written and verbal communication skills
Ability to professionally handle sensitive and confidential information
Ability to professionally interact with individuals at varying levels within the organization
Flexibility and willingness to learn and accept changes in job duties
Ability to thrive in fast paced environment and work under pressure
Advanced skill with Microsoft software (Word, PowerPoint, Excel, Outlook)
Excellent math skills, accounting knowledge is an asset
Ability to handle high volume phone calls
Strong collaborator and ability to work independently
Proactive and flexible problem solving skills
Detail oriented
Poised and professional at all times, acting as the face and upholding the reputation of the organization
Compensation:
$90,000 - $100,000
