About the Role:
Schedule: Part-Time; 32 hours per week. 8:00-3:00 pm Monday through Thursday and 8-12 on Friday, with a 30-minute unpaid lunch each day.
Job Description:
Hospitality specialists are primarily tasked with welcoming visitors and creating a warm and friendly atmosphere to make both guests and our team comfortable. This position will report to the President and the HR Director, and be part of a team of hospitality specialists across our other offices. Based in the St. Louis office, this position will work with many of the service leaders and support a variety of areas within the company including operations, office management, and facilities. This role plays a key role in front desk operations, office space logistics, event planning and other special projects as assigned.
Responsibilities:
Hospitality:
Answers phones, communicates via email, and interacts professionally with clients, customers, and team members each day
Demonstrates problem-solving abilities and handles issues professionally and efficiently
Distribute organization-wide communication to team members and prepares new hire materials
Maintains a welcoming, clean work area that is organized and free of clutter
Prioritizes safety and security when managing the front desk operations
Ensure the highest level of confidentiality and professionalism in all interactions, handling sensitive information with discretion and integrity
Operational Duties:
Handles purchasing gift cards as necessary
Partners with People Success team on new team member workstation set up
Organizes and supports travel reservations (e.g. hotels, cars, and conferences) requested by team members
Manages President's calendar by adding and updating applicable events and reminders
Supports President and HR Director with administrative tasks and special projects as needed
Office Space:
Collaborates with vendors to ensure all requests are handled promptly (such as virtual technology services, copiers/printers, plant company, other office supplies, etc. )
Responsible for daily mail or courier needs
Maintains a clean office environment between third-party cleanings
Helps with furniture tracking and order purchasing as needed
Manages office map and seating availability for office location
Orders and stocks office and safety supplies, office snacks and drinks to ensure the office maintains CDI hospitality standards
Prepares meeting rooms for interviews, internal meetings, CDI events, or external meetings
Helps with in office decorating as needed to create an inviting space for team members and guests
Events:
Helps set up and coordinate internal company wide meetings
Assists with coordinating office events in partnership with internal committees, People Success team, Hospitality team or President
Other duties as assigned or tasked for special events – during these events hours may be flexed
Requirements:
High school diploma
Friendly, helpful, and customer service-oriented attitude
Detail oriented, with strong organizational and time management skills
Strong ability to problem solve and solution focused mindset
Corresponds effectively and professionally in both oral and written communication
Ability to work core hours when the office is open for clients and the CDI team
Proficient in Microsoft Word, Excel, Outlook, and Teams
Prolonged periods of sitting or standing; frequent bending, twisting and reaching; must be able to frequently lift 30 lbs.
The anticipated base hourly rate range for this position is $21.00-$24.00/hour. Compensation will vary based upon relevant experience, education, skill level, and other compensable factors.
