Assist with the following tasks:
Administrative Support
Manage and organize schedules and calendars for executives or teams.
Preparing and editing documents, presentations, and reports.
Coordinating meetings, including booking venues, sending invitations, and preparing materials.
Handling correspondence, such as emails, letters, and phone calls.
Preparing travel arrangements.
Office Management
Maintaining office supplies by ordering, stocking, and tracking inventory.
Ensuring office equipment (e.g., printers, copiers) is functional and arranging repairs when necessary.
Organizing and maintaining physical and digital filing systems.
Update Office SOPs
Communication
Acting as a point of contact for internal and external company contacts (including building services contacts).
Relaying information between Corporate and Local Offices, ensuring smooth communication channels.
Drafting and proofreading emails, memos, and other communications.
Recordkeeping
Maintaining accurate and up-to-date records of business activities.
Managing databases, including inputting and retrieving information as needed.
Ensuring compliance with company and legal standards for document retention.
Maintaining employee training and certification records.
Event Coordination
Planning and organizing events, such as meetings, conferences, and team-building activities.
Coordinating logistics, catering, and materials for events.
Financial Administration
Assisting Project Controls with budget preparation and tracking expenses as requested.
Processing expense reports, and reimbursements.
Handling company credit card transactions.
Customer or Client Support
Greeting visitors and providing assistance as needed.
Responding to inquiries via phone, email, or in person.
Addressing complaints or directing them to the appropriate person or department.
Project Assistance
Supporting specific projects or initiatives as assigned.
Tracking progress, compiling reports, and following up on deadlines.
Miscellaneous Tasks
Performing any other duties assigned by supervisor(s).
Adapting to the needs of the organization and taking on ad hoc responsibilities.
Job Requirements:
Minimum requirement: High school diploma or equivalent.
Preferred: Associate’s or Bachelor’s degree in business administration, management, or a related field.
Preferred Qualification:
Minimum of 5 years of relevant experience in Alaska preferred.
