The Assistant to the Assistant Dean provides administrative support to the Assistant Dean for Muslim Life in the Office of Religious Life. The position reports to the Assistant Dean, the Muslim Chaplain on campus, and is the key contact on administrative issues for the Muslim Life Program at Princeton.
This position supports the Assistant Dean by coordinating meetings and keeping the Assistant Dean’s calendar, collecting and sharing information, preparing reports, maintaining financial and other records, social media, and completing special projects as assigned. The incumbent also works with the Muslim Students Association board leadership and ensures all documents are submitted accurately and timely. The candidate must have excellent writing skills and experience working with students in an academic setting.

Responsibilities
Administrative Support to the Assistant Dean:
Drafting, editing, researching, compiling, and following-up on correspondence
Organizing weekly and monthly events: scheduling facilities and services; publicizing programs; coordinating efforts with students, staff, faculty, and alumni; managing related project grants
Financial management of all Muslim Life Program expenses, including expenses incurred by the Muslim Students Association
Manage and maintain the MLP website, social media and other communications with students and the community
Make all travel arrangements for the dean and MLP guests, prepare itineraries, and compile all necessary files and materials for trips
Serve as a primary resource to internal and external offices, visitors, and alumni
Work with ORL staff in a collaborative manner and provide coverage as needed
Meeting and Events Support:
Plan, coordinate, and communicate the activities of the Assistant Dean by scheduling meetings, creating agendas, taking minutes, and following up on assigned tasks to ensure they are completed
Coordinate program logistics, including ordering food, event space set up, etc.
Coordinate with students, staff, and faculty for dinners and other post-event gatherings
Organizing weekly and monthly events: scheduling facilities and services
Alumni and Donor Relations:
Correspond with Alumni and Donors
Develop and maintain MLP annual report
Assist with planning of annual Ramadan banquet
Support Assistant Dean in projects and duties as needed
Manage related project grants
Qualifications
Essential
High School Diploma or GED
At least 1-2 years of related experience is necessary
Excellent oral and written communication skills
Demonstrated excellent editing and writing ability
Exceptional judgement and organizational skills
Ability to be well-organized, thoughtful, collegial, independent, and team oriented; the ability to multi-task and have a “big picture” perspective
Ability to exercise discretion in handling confidential information
Preferred
Knowledge of Concur and Asana
Knowledge of Prime, including Marketplace
Knowledge of Google Suite, Microsoft Office Suite, and Outlook
Experience working in an academic department within higher education
Key areas requiring competency include communication, problem solving, data analysis, financial acumen, collaboration, technical functions, multi-tasking, balancing priorities, and event planning.
1-2 years of experience working with Muslim students in higher education institution
