Job Description:

As the Coordinator, Corporate Groups Talent Acquisition, you will play a pivotal role in facilitating the talent acquisition and onboarding process for domestic and international hires by collaborating closely with Recruiters, HR Business Partners (HRBPs), various client groups and candidates. Your primary responsibilities will include budget administration, managing and coordinating talent acquisition activities, ensuring a smooth and efficient process from initial candidate application to onboarding. This entails expertly handling interview scheduling, exploratory interviews, communication with candidates, coordinating background checks, overseeing the hiring process, and extending a warm welcome to new hires.


LOCATION: This position supports Corporate Groups located in New York City and Parsippany, NJ. In this role you will be required to be onsite in both locations with regularity and as needed.


Responsibilities:




  • Hiring Support: Work closely with Recruiters, Hiring Managers and HRBPs to assist in the hiring process, including systematic hiring, troubleshooting offers / hire issues in Oracle, pre-onboarding activities (badge requests, start dates, etc.), welcome communications.


  • Pre-Boarding and Onboarding: Contribute to the onboarding of new hires by coordinating hiring manager handoff communications, preparing necessary documentation, onboarding gifts, and providing essential information to ensure a smooth transition into the organization (welcome meeting includes Tiffany overview of benefits, key contacts, I9 completions, etc.)


  • Background Checks: Manage the background check process and paperwork, addressing any discrepancies or pre-adverse action, as needed. Provide consistent and timely status updates to recruiters.


  • Interview Scheduling: Efficiently coordinate and schedule virtual and in-person interviews between candidates and hiring teams, ensuring timely communication and a positive candidate experience. This includes completing travel arrangements, as needed.


  • Budget Management: Oversee team's PO, invoicing creations, reimbursement expenses, approvals and managing monthly reconciliation of recruitment related spend.


  • Consultant Agreements: Prepare, track and renew consultant agreements by collaborating with legal and compliance teams to ensure adherence to policies and regulations.


  • Exploratory Interviews: Conduct initial exploratory interviews/conversations with referred candidates from partner events, employee referrals and other referrals as needed. Provide positive and holistic introduction to Tiffany/LVMH, career overview options and then advise of next exploratory steps (i.e., additional interviews, future meetings or close of career conversation for now).


  • Resume Acknowledgement: Provide positive interaction and acknowledgement to candidate referrals and follow up to the referring employee/leader/external source. Track and report on trends in referral success and placement.


  • Early Careers Recruitment: Partner with Manager, Corporate Groups Talent Acquisition to drive early career and internship recruitment and experiences.


  • Stakeholder Collaboration: Build strong partnerships with Recruiters, HRBPs and client groups to understand their specific needs and tailor support accordingly.


  • Visas and Relocation: Support Recruiters with new hire Visa processing and relocation packages, as needed. Ensure Visa tracking is properly monitored and updated.


  • Employee Referrals: Manage employee referral reporting and payout process for all corporate group referral hires.


  • Project Management and Administration: Participate in ad hoc projects that support Corporate Groups recruitment operations, events, candidate experience and administrative support. Coordinate and facilitate team meetings.


The hiring range for this position ranges from $27.71 - $37.49. The rate of pay offered will be dependent upon candidates' relevant skills and experience.
