The Opportunity


  • Collaborate with the Supervisor, Academic Outreach to provide logistical and administrative support for recruitment and retention programs, including, but not limited to: Senior Residents' Weekend: Assist in organizing events aimed at building resident pipelines for key practice lines
  • Spring Symposia: Support resident-focused tracks, including event preparation and coordination.
  • Recruitment Dinners & Lunch-and-Learns: Manage scheduling, invitations, and on-site logistics.
  • Collaborate with internal teams to align program initiatives with strategic goals and ensure program scalability.
  • Partner with teams (ex: Marketing, Learning & Development, Meetings & Events) to execute initiatives that showcase Vituity as an employer of choice.
  • Maintain and organize event budgets, ensuring accurate tracking of expenses and reconciliation.
  • Gather, organize, and present data on recruitment and retention efforts, including attendance tracking and program outcomes.
  • Assist in the development and implementation of processes to monitor resident and student hires.
  • Manage the infrastructure and operational processes for growing number of programs.
  • Provide regular reports to leadership on student hires, program effectiveness, and recommendations for improvement.
  • Administrator initiatives through project management tracking software, Monday.com.
  • Collaborate with Director of Academic Affairs and Supervisor, Academic Outreach to assist with executions of programs & initiatives.
  • Maintain an up-to-date record of residency and fellowship programs, ensuring consistent documentation and tracking.
  • Coordinate with internal stakeholders (e.g., Operations, BPEC, Medical Recruiting) to align programming efforts with organizational goals.
  • Support the growth and maintenance of initiatives like the Residency Rotation Catalog and monitor benchmarks.
  • Support the growth and maintenance of residencies and physician fellowships.
  • Collaborate with Director of Recruitment & Retention of Advanced Providers as well as Supervisor, Academic Outreach to assist with executions of programs & initiatives.
  • Provide administrative support for Advanced Practice Provider (APP) Fellowship recruitment efforts, including application tracking and onboarding processes.
  • Support the growth and maintenance of initiatives like the Student Tracking and Retention (STAR) Program and monitor benchmarks.
  • Assist in the setup and operational launch of new APP Fellowships, ensuring smooth integration into organizational systems.
  • Coordinate with various teams (e.g., Medical Recruiting, Onboarding, People Operations) for the onboarding of fellows, maintaining accurate records and documentation.
  • Track progress and communicate updates on the expansion of fellowship programs.
  • Assist in providing day-to-day guidance and support to the Program Coordinators, Academic Outreach, helping them meet team objectives.
  • Support team goal achievement by tracking metrics and identifying areas for improvement.

Required Experience and Competencies


  • Bachelor's Degree required and four (4) years of equivalent experience required.
  • Strong organizational and multitasking skills, with an ability to prioritize tasks effectively required.
  • Proficient in Microsoft Office Suite and event management tools, preferably Monday.com required.
  • Experience in data tracking, reporting, and analysis required.
  • Excellent written and verbal communication skills required.
  • Familiarity with recruitment or academic program coordination is preferred.
  • Proficiency with applicant tracking systems preferred.
  • Superb verbal and written communication for formal presentations.
  • Outstanding listening skills with an open mind, but a decisive intuition.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, OneNote, Outlook).
  • Ability to establish close collaboration and cooperation with peers, direct manager, hiring managers, and senior leadership.
  • Ability to drive and influence decisions related to the recruiting process and recruiting initiatives.
  • High energy personality, with a "can-do" spirit that is seen as approachable at all levels of the organization.
  • Knowledge of basic Human Resource principles and best practices in recruiting including diversified recruiting, job posting, protected classes, internal applicants, and hiring staff, preferred
  • Results-oriented and self-starter who enjoys a challenge and is dedicated to rolling up the sleeves and getting the job done independently if required.
  • Knowledge across the entire candidate lifecycle, from talent mapping, research, sourcing, interviewing, to closing.
  • Solid presentation skills, able to leverage data to influence decision making.

We are excited to share the base salary range for this position is $29.19- $36.49, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company's annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
