Job Title:Administrative Assistant 3Department:Medicine | Health and Rehabilitation Sciences
Administrative Associate for School of Health and Rehabilitation Sciences

Position serves multiple roles within the school's administrative office primarily supporting the Clinical Education Program and Facility Operations with some support to other areas of the school's operations. All functions and roles are seated within and supported by the School of Health and Rehabilitation Sciences Administation.



Primary role (~60%) as an Administrative Associate to the Clinical Education (ClinEd) program includes support to the school's clinical education programs. Duties include but are not limited to: database management and data entry, high-volumes of communication to facilitate tracking student compliance and clinical rotation placement, arranging travel for site visits, and assisting Program Coordinator with preparation and management of affiliation agreements and legal correspondence with clinical partners.



Secondary role (~40%) supports the school's operations through asset management and procurement, including coordinating and tracking furniture and capital assets in SHRS. Supports annual audits and compliance regarding assets and physical access management. Position serves as a member of the overall School Administration, by serving on committees, event planning/coordination, backup for other staff roles, and other duties as needed




Primary Duties



  • Database management and data entry to maintain the clinical rotation management systems used by the School, as well as asset tracking through Workday.

  • Coordinator tracks and works with students to document and maintain compliance with clinical-based requirements. Serves as backup for ClinEd Program Coordinator.

  • Assists programs with the administrative and communication pieces of clinical rotation placement annual mailings, offer solicitation, offer preparation/clarification, etc. Arrange travel for Clinical Education Activities across the School, and coordinates preceptor gifts.

  • Serves as a secondary building coordinator. Coordinates and tracking Assets as well as supporting furniture and capital procurement. Supports annual audits and compliance of assets and physical access management

  • May support the school's Appointment, Promotion, and Tenure process as a backup to the Faculty Affairs coordinator and Admin Managers.

  • Serves as a member of the overall School Administration, by serving on committees, event planning/coordination, backup for other staff and building coordinator, and other duties as needed.




Position pay range starts at $21.11/hour.

This position requires communication skills, organization, and the ability to multi-task and coordinate projects from multiple sources. A degree of "tech-savviness" and experience with database coordination and administrative programs (Notable systems used by this role include: Workday, Exxat, Excel, Word, Lenel, Outlook, Teams) is highly sought, but will be taught for the right candidate. In addition to the hard-skills, this candidate will be able to interface well with students, faculty, staff and leadership in a way that positively represents the programs.
