The Indiana Memorial Union (IMU) serves as the community center for the Indiana University Bloomington campus. In its nearly 500,000 square feet of space, the Union hosts more than 10,000 meetings and events per year, supports student organizations and student programs through its Student Involvement and Leadership Center, and is a popular place to gather for food and drink, studying, go bowling or play pool, or just hang out. It is one of the few experiences that touches every IU student on the campus as well as the building that hosts the most visitors to campus. Through its programs, services, and facilities, the IMU plays a key role in creating a sense of welcome and belonging in the IU campus community.



Job Summary



This position is responsible for the operations area of the Indiana Memorial Union (IMU) including the Meetings and Events department, building managers, Bowling and Billiards, emergency planning and management, and working with IMU building partners (IU Bookstore, Visitors Center, Admissions, UITS Technology Center). The position will also be responsible for the student employee training and development program, employee engagement activities and new IMU employee orientation, and IMU department-specific policy and procedures.


Department-Specific Responsibilities


  • Supervises the Assistant Director for Meetings and Events. The IMU Meetings and Events office provides reservation, planning, set-up, sales, technology, and event coordination services for more than 16,000 meetings and events each year, with 10 full-time and numerous part-time staff. The department works closely with student organizations, university departments, conference organizers, and outside entities who host events in 25 event spaces in the IMU and aim to maximize usage of the facility while providing an outstanding guest experience.

  • Due to the nature of a student union, the Meetings and Events staff also must help inexperienced program organizers plan and execute successful programs through providing advice and consultation. The Meetings and Events Office generates more than $700,000 in annual revenue and is instrumental in most of the revenue generated by IU Catering and in a significant portion earned by the Biddle Hotel, both of whom are important partners in the success of the IMU.

  • Supervises the IMU Recreation Manager, which includes the Bowling, Billiards, and Table Tennis unit (commonly called Bowling and Billiards). The unit supports 35 for-credit classes annually and open recreation in those 3 areas and brings in over $300,000 in annual revenue. The unit currently has 1 full-time manager, 3 student managers and a team of approximately 10 other student employees.

  • Supervises and oversees the building managers, including 1-2 full time employees, 1 graduate assistant, and a team of 10-12 student building managers. The building managers oversee the IMU building and operations on weekends and nights and provide support during weekdays. They provide customer service and security and are often the first point of contact for students, faculty, staff, and guests who are in the IMU to organize or attend events and programs, dine, identify building issues, and coordinate responses.

  • Develops new programs to support student organizations' meetings and events in classrooms, lounges, and other designated spaces around campus.

  • Develops and leads the IMU student employment program. Research shows that student union employees are more effective and that student unions are stronger when employees understand the mission of the student union and receive training beyond their immediate tasks. The IMU has 60 student employees, and that number should expand in coming years.

  • Leads and organizes the new IMU employee orientation and employee recognition and engagement efforts, including regular all-staff gatherings, town hall meetings, and the employee engagement committee. Implements the student employee recognition program.

  • Serves as the primary point of contact for IMU partners in the IMU and Ernie Pyle Hall (next-door). Convenes regular meetings with the IU Bookstore, the IU Visitor Information Center, Admissions Welcome Center, and UITS Technology Center to coordinate activities and communicate about upcoming events and programs, signage, and other needs.

  • Manages the IMU's art collection and display, in conjunction with the Campus Art Curator. Works with Union Board students on the annual or semi-annual purchase of new pieces.

  • Works with Union Board students on the display of regular rotating art exhibits of student and other art.

  • Coordinates the IMU's emergency management planning and implementation, in conjunction with the Assistant Director for Facilities. Leads emergency management training.

  • Coordinates building safety and security efforts. Works with the Office of Insurance, Loss, Control and Claims and the Indiana University Police Department on these issues.

  • Serves as campus liaison to the University Club, an organization of more than 300 faculty, staff, and retirees that does regular programming in the IMU.

  • Represents the IMU on committees and task forces for the campus and community and lead projects and committees within the IMU, including managing the IMU department policy manual.

General Responsibilities


  • Provides highest level of operational leadership and coordination of assigned staff members to define student life methodologies and standards; provides direction and guidance on high priority student life projects/initiatives.

  • Establishes short-term business plans and long-term operational objectives, including managing project timelines/deliverables and developing resource plans for multi-project/multi-phase student life initiatives.

  • Conducts a variety of personnel actions to include, but not limited to hiring, promotion, performance management, and dismissal.

  • Manages high level assignments and allocation of student life resources, including negotiating and coordinating initiatives that involve staff in other departments/areas/teams; may coordinate large-scale student life projects with a wide audiences in support of academic initiatives.

  • Makes budgetary recommendations/proposals based on resource needs and ensures cost containment.

  • Researches and stays up-to-date on new industry student life standards, technologies, policies, and procedures; responsible for the implementation of new protocols/procedures to address business needs.

  • Works collaboratively with other student life leaders across departments in recommending standards, best practices, and related policies/procedures.

  • Prepares management reports and summaries for senior administration, executive, steering and advisory committees; acts as advisor to executive committees; serves on various university committees, communities of practice, and task forces related to student life.

  • May serve on various campus or cross-functional committees to share student life best practices.

EDUCATION



Required



  • Bachelor's degree in education, public affairs, public health, social work, counseling, or related field

  • Master's degree in higher education student affairs or related field

  • 4 years in student life, higher education student affairs, or related field

  • 1 year of management experience in relevant field

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. This role requires the ability to move objects weighing up to 25 pounds. This position requires some evening and weekend work and will involve occasional travel. The person in this role must be able to perform the essential functions with or without an accommodation.
