The Indiana Clinical and Translational Sciences Institute (CTSI) has research partnerships with Indiana University, Purdue University, the University of Notre Dame, and the Regenstrief Institute. Our mission is to bring together Indiana's brightest minds to solve the state's most pressing health challenges. The CTSI, in existence since 2008, is organized in pillars representing the key components of the Institute. The Workforce Development pillar encompasses career development, education and research training for individuals spanning multiple career stages, including high school students, undergraduates, professional students, faculty and staff. We are seeking a Program Management Specialist to contribute to the leadership and activities of the Workforce Development Pillar.
Job Summary
Department-Specific Responsibilities
Implements the organizations' strategic vision and direction by developing, initiating, and/or supporting new programs and services, creating annual work plans, and operating within a board-approved balanced budget.
Ensures the maintenance of effective office management, financial management, record-keeping, and equipment and software.
Plans, directs, and implements programs or events, including developing branding strategy and targeting audiences for these events.
Oversees or represents the program in communications to program participants, supporting institutions, collaborators in other units, community partners, vendors and the public. Troubleshoots and resolves issues and programs.
Provides mechanisms, training, and advice on a variety of issues such as budget management software and advanced strategies for timely spending of grant funds.
Oversees research and academic activities budget for programs. Identifies funding requirements and funding sources to ensure adequate resources to sustain program goals. Leads grant writing.
Evaluates the performance of lower-level staff, recommends development and performance plans, promotions and disciplinary action and is accountable for consistent administration of university policies.
Keeps abreast of best practices to create and implement policies and procedures that deliver a quality program experience.
General Responsibilities
Manages large projects of the most complex nature, from start to finish, ensuring on time completion within budget.
Analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
Communicates ongoing changes in tasks, goals, or performance; supervises and trains project staff as needed.
Develops and maintains project schedules, goals, and communication.
Matrix manages teams to develop, evaluate, and revise project processes.
Collaborates with other departments to ensure that project objectives are achieved within established time frames.
Participates in client meetings, contract finalization, and development of requirements and specifications.
Provides guidance and support to less experienced peers.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Indianapolis, Indiana
This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
