Job Description:
Ponca State Park, located along the scenic Missouri River, is seeking a dynamic and organized Group Functions Coordinator to manage and coordinate, office operations, park and agency events including the Missouri River Outdoor Expo, group facilities, park promotions, marketing, outreach, and social media. This role ensures an exceptional customer service experience for visitors. The coordinator will work closely with park staff, vendors, volunteers, and guests to plan and facilitate a wide range of events, welcoming culture, and create a lifetime of memories.
JOB DUTIES:
Event Coordination
•Plan, organize, and oversee park events, such as the Missouri River Outdoor Expo, Hallowfest, Birds & Breakfast, etc.
•Organize, and oversee group events, such as reunions, retreats, conferences, etc. including facility bookings.
•Ensure all logistics are handled, including reservations, space allocation, permits, staffing, and necessary equipment.
Customer Service & Communication
•Coordinate and communicate staffing needs and tasks for guest services and events with Park Superintendents and Administration.
•Serve as the primary point of contact for staff and organizers before, during, and after events.
•Provide timely and accurate information regarding park services, facilities, available amenities and reservations.
•Troubleshoot and resolve any issues that arise before or during events to ensure a smooth experience for all participants.
Budget and Resource Management
•Manage event budgets, ensuring that resources are allocated efficiently and within budget.
•Maintain inventory and equipment for group functions and ensure all materials are in good condition.
•Assist with short and long term planning goals including capital construction, park operations, deferred maintenance and park activities.
Staff Coordination
•Work with park staff to schedule and assign responsibilities for event support.
•Oversee, supervise and assist staff in executing event-related duties, ensuring a high standard of service delivery.
Promotions & Marketing
•Collaborate with the agency's Communication Division to promote group function and event opportunities through digital media, print materials, and outreach programs.
•Manage the park's social media account.
Safety and Compliance
•Ensure that all events and activities comply with park rules, local regulations, and safety protocols.
•Conduct risk assessments for group events, addressing any potential hazards or safety concerns.
•Maintain a secure and clean environment for groups during events and activities.
Facility Management
•Oversee the proper setup and teardown of group event spaces, including shelters, lodges, and outdoor activity areas.
•Monitor the condition of park facilities used by groups and coordinate any necessary maintenance or improvements.
Feedback and Continuous Improvement
•Solicit feedback from group leaders and event participants to gauge satisfaction and identify areas for improvement.
•Continuously evaluate and adjust group offerings to improve the overall experience for future clients.
Other Park Duties as Assigned
•Serve as an on-call park superintendent

Requirements/ Qualifications
Minimum Qualifications: Bachelor's degree in park/recreation management or a related field; (wildlife, fisheries, natural resources sciences, public administration, history, cultural resource preservation or interpretation, travel and tourism, and planning) AND two years related experience including one year in a supervisory or lead worker capacity. Related coursework/training and/or experience in park/recreation management or related field may substitute for the Bachelor's degree on a year-for-year basis.
Other: Driver's license required.
