Job Description Summary:
To provide administrative support to project management team and to assist in administration of field office to achieve efficient and accurate project documentation.

Job Description:

POSITION RESPONSIBILITIES AND DUTIES:


  • Able to perform all essential Field Assistant responsibilities.

  • Provide general administrative support to the project team(s) and serve as liaison to project partners.

  • Oversee daily field office operations including guest relations, answering phones, desk assignment, calendar support, mail management, and overall field office management.

  • Point of contact for technology support, equipment troubleshooting, and mobile device assistance.

  • Manage field office set up; source and maintain furniture and equipment.

  • Coordinate vendors for general equipment and services repairs or updates.

  • Support project team with expense reporting, invoice processing, travel, and lodge coordination.

  • Order office and breakroom supplies; monitor budget and cost

  • Plan and execute project meeting, events, and luncheons as requested by project team.

  • Assist with onboarding new hires, coordinate equipment, access, parking, and prepare workstation.

  • Support with fleet and asset assignment and maintenance.

  • Ensure jobsite safety compliance through appropriate postings and upkeeping safety supplies

  • Prepare and issue subcontractor contracts and change orders - file and update systems.

  • Maintain electronic project filing systems and project document compliance.

  • Facilitate and monitor subcontractor prequalification process.

  • Manage subcontractor/vendor insurance enrollment; collect and review insurance documents to ensure compliance as required by project.

  • Attend internal and external project team meetings; document meetings as directed

  • Enter and maintain project contact lists in construction management system(s) and project files.

  • Assist with project close-out documentation

  • Assist with owner billings, lien releases, and certified payroll as applicable.

  • Review and maintain Labor Compliance reports to ensure compliance with applicable laws

  • Facilitate project communication, manage correspondence, prepare presentations, and compile reports as directed.

  • Assist project team in maintaining progress photo album

  • Run miscellaneous errands; pick up deliveries as required or directed

  • Support the project team in the overall successful completion of assigned projects

  • Complete other responsibilities and activities as assigned.

MINIMUM SKILLS OR EXPERIENCE REQUIREMENTS:


  • High school diploma/GED, technical degree a plus,

  • Minimum of 3-year administrative experience (preferably 2 years of constructions administration) or equivalent combination of education and experience.

  • Knowledge of labor compliance and prevailing wage a plus

  • Knowledge and use of Microsoft 365 (Word, Excel, PowerPoint, and Teams)

  • Knowledge in general office procedures, video conferencing equipment and office machines

  • High proficiency in English verbal communication skills including professional telephone manner

  • Proficient in performing accurate and efficient typing and data entry

  • Proficient written communication skills including business writing skills

  • Maintain appropriate levels of confidentiality.

  • Skilled at managing multiple projects and tasks

  • Reliable, dependable, resourceful, and flexible

  • Field Administrator relates to the job description and not a physical location. Physical job location is determined by project and subject to change based on project assignment(s).
