The Federal Reserve Bank of Kansas City is looking for an experienced event coordinator to support events and conferences in the head office in Kansas City, Missouri. This role is collaborative with several internal departments, and you will build and maintain relationships with the Bank’s internal and external meeting hosts.

As a key member of the team, you will work under the guidance of the district conference center management to help achieve the Bank’s outreach and customer service goals. You will coordinate services with members of the facilities, law enforcement, IT and audio/visual teams as well as working with a third-party vendor for catering services and external partners for hotel blocks, parking and off-site locations for branch business within the district.

You will work closely with the Kansas City conference center team and the Public Affairs department, that oversees the operation of the district conference centers in Kansas City, Omaha and Denver. You will meet regularly with this team to discuss events, challenges and opportunities and maintain the Bank’s reputation for providing outstanding service and hospitality.

Key Activities:

Works with sponsor/host to:


  • Understand and conceptualize the scope and goals of events and select from a range of services.

  • Coordinate logistical arrangements for events, such as room setup, audio visual, hotel, catering, transportation, material preparation, presenter support, and other related service requirements.

  • Review progress and facilitate event decision-making needs, including logistical and/or post-event evaluation.

Works with Facilities, Law Enforcement, and dining staff to resolve problems that may arise, such as changes to meeting room location, setup, catering, last minute changes in attendance, technical difficulties, and evacuations or other emergencies. For events larger in scope, outlines event preparation activities and develops a plan and timeline for delivery, identifies budget and cost issues, and presents to department management and event sponsor/host. Ensures event supports the business and/or mission of the Bank and conforms to Bank policies relative to event planning activities, including the discretionary expense and payment policies. Greets and directs guests/participants and serves as an on-site liaison to address the needs of the event sponsor/host and participants throughout the event. Reviews, initiates, and receives necessary approval to host external events, prepares proper documentation for Financial Management, and obtains approval from Senior Management.

Performs other duties as assigned.

Key Characteristics and Job Preferences:

Typically requires at least 2 years of relevant experience. Bachelor’s degree in business, mass communications, public administration, liberal arts, or a closely related field from an accredited college or university, or equivalent combination of directly related education and/or experience. Intermediate understanding of technical business processes and subject matter. Performs most work independently with general supervision and direction. May consult with management or more senior staff in decision-making.

Location: Kansas City, Hybrid: minimum 80% on-site

Pay Range: The pay range for this position is $59,000 to $80,000 annually for the job level(s) required for this position. Final offers are determined by factors including the candidate’s qualifications, internal alignment considerations, district assignment, and geographic location.

Sponsorship: Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.
