We are seeking a friendly and organized individual to join our team as a Part-Time Administrative Support/Receptionist. This role involves providing general administrative and clerical support, while ensuring a welcoming and professional environment for our patients, clients, and visitors. The ideal candidate will possess excellent communication skills, attention to detail, and a positive demeanor. This position offers flexible hours, working Monday through Friday from 8:00 AM to 5:00 PM, with every other weekend as scheduled.
Key Responsibilities:
Greet and welcome patients, clients, and visitors in a friendly, professional manner.
Answer telephone calls, take messages, or forward calls as necessary.
Check visitors in, direct or escort them to specific destinations.
Inform employees of visitors' arrivals and cancellations.
Maintain and monitor the visitor sign-in log.
Handle incoming and outgoing mail efficiently.
Schedule appointments and manage meeting room bookings.
Maintain a tidy and organized reception area.
Perform other duties as assigned by management.
Confidentiality and Compliance:
Agree not to disclose resident's protected health information (PHI) and promptly report suspected or known violations to the Administrator.
Maintain the confidentiality of all resident care information, including PHI.
Report any known or suspected incidents of unauthorized disclosure of PHI.
Supervisory Responsibilities:
This position does not have supervisory responsibilities.
Qualifications:
Education and Experience:
High school diploma or GED required; previous administrative or receptionist experience is preferred.
Language Skills:
Ability to read, analyze, and interpret general business materials, professional journals, and technical procedures.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from managers, employees, and clients.
Mathematical Skills:
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability:
Ability to solve practical problems and handle a variety of concrete variables in situations with limited standardization.
Ability to interpret instructions presented in various forms (written, oral, diagram, or schedule).
Certificates, Licenses, and Registrations:
Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook), clerical functions, and multiline phone systems.
Physical Demands:
Occasional lifting or moving up to 25 pounds.
Prolonged use of a desktop or laptop computer.
Regular sitting, standing, walking, talking, reading, and hearing.
Frequent use of office equipment (copier, scanner, fax, telephone, calculator).
