ABOUT THE ROLE

The Purchasing Coordinator will be responsible for the inventory and maintenance of supply areas in the San Francisco office. Responsible for processing orders and invoices for supplies and catering, being mindful of budget constraints. Interacts with vendors and service providers to fulfill requests for material support and services essential to events and daily operations. Assists Facilities and the Sr. Office Operations and Safety Specialist in specified tasks and in backup support. Additionally, this position ensures client service and satisfaction are attained in all areas of the position.

  • Establish and monitor office supply, stationery, forms, Incorporation materials, certificates, and equipment inventory levels, as well as ensure appropriate stock levels are maintained. Process requests for business cards and generate proofs for approval.
  • Assist other offices (including international offices) in areas of purchasing and services when requested. This may include special firm sponsored events (Get-Togethers, Happy Hour, History month, etc.) requiring guidance relating to planning, budgeting, ordering, and supporting the catering and purchasing segment.
  • Receive, distribute, and store incoming office supplies and stationery. Quality check received items. Process returns on damaged or incorrect shipments. Communicate with vendors and or representatives regarding service and products.
  • Prepare purchase orders for supplies not ordered online, and leave the premises when necessary to physically obtain supplies from local retail outlets, which include stamps, flowers, gift baskets, etc.
  • Perform record keeping functions related to supplies and printed stationery, business cards, and forms, including reconciling delivery receipts with delivered goods and purchase orders. Keep track of back orders and special orders, and log special requests.
  • Directly assist trial teams with material support and logistics specific to individual trials. This may include ordering, packing and re-stocking supply areas when trial teams return.
  • Facilitate the purchase and delivery of supplies for our third-party Office Services vendor, being mindful of budget constraints.
  • Maintain and oversee the restocking of medical/safety and survival supplies for San Francisco.
  • Carry out relief schedule for Purchasing and Catering help desk and Facilities help desk as assigned by the Purchasing and Catering Manager or Facilities Manager. Relief may include the answering of external and internal phone calls, monitoring e-mails, and greeting and assisting visitors and personnel requiring assistance.
  • Cross-trained to provide support for catering-related tasks, including placing catering orders for meetings as needed. Responsible for maintaining accurate Food Log data entries. Handles and ensures follow through on last-minute catering requests efficiently.

ABOUT YOU

  • Bachelor's degree preferred, or equivalent work experience.
  • Purchasing experience in an office environment preferred.
  • Proficient computer skills using Microsoft Office Suite required.
  • Strong verbal and written communication skills.
  • High client service ethic and a proven record in delivering exemplary client satisfaction to external and internal client constituencies.
  • Reliability, dependability, and strong motivation to respond to requests quickly.
  • High level of accuracy, and attention to detail, and accountability.
  • Ability to receive and follow instructions with high degree of accuracy.
  • Ability to work overtime.

Where required by law, salary ranges are stated below. Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant's skills and prior relevant experience; and certain degrees, licensing, and certifications.

San Francisco salary range: $49K to $68K
