In September 2003, under the Department of Defense's Utility Privatization Program, we were awarded ownership and a 50-year contract for the operations and maintenance, upgrades and renewal and replacement of the water and wastewater distribution and collection systems and treatment facilities at Fort Novosel in Dale County, Alabama. The contract covers the main Army post, the Cairns Army Air Field, the Shell Army Heliport, and the surrounding stagefields utility systems. Our responsibilities include system capital investment, regulatory and environmental compliance, planning, asset recapitalization, and long term operations and maintenance. The potable water distribution system at the main Post consists of ground water supply, treatment, storage and piping. The Post is served by seven active wells ranging from 425 gallons per minute (GPM) to 800 GPM capacity. There are three 500,000 gallon ground storage tanks and two 500,000 gallon elevated storage tanks with over 70 miles of piping and 1,800 service connections within the distribution system. The wastewater collection system includes a 2.5 million gallons per day (MGD) activated biosolids plant. We are looking for an Amazing Administrative Assistant to join the Fort Novosel American Water Team!





Primary Role



Responsible for performing, administrative and operational support to the General Manager and staff, maintaining a close and highly responsive relationship for day-to-day activities of supervisor and staff. Work fairly independently, receiving a minimum of detailed supervision and guidance, and taking responsibility for completing certain programs/activities.




Key Accountabilities




  • Provides confidential and administrative support for General Manager and staff. Anticipates and arranges, participates in, and implements conferences and meetings.
  • Prepares financial, statistical, narrative, and/or other reports as requested. Responsible for monitoring expenditures to budget according to company guidelines with the General Manager overseeing the Budget.
  • Responsible for the Purchase Order System and providing administrative support for the procurement of materials.
  • Completes bi-weekly time sheets and submission to payroll (for all full-time and temporary employees).
  • Coordinates routine activities and communications with DPW, Government Contractors and others as directed. Handles telephone requests and communicates to field personnel.
  • Responsible for the Work Order System. Administers and coordinates the preparation and completion of work orders in accordance with the policies and practices.
  • Administers and coordinates the maintaining of reports, maps, charts and records related to operations and maintenance (O&M) capital.
  • Contributes to effective communication by listening and providing constructive feedback.
  • Performs related duties as assigned.




Knowledge/Skills




  • Proficiency with MS Office Suite products, including MS Word, Excel, PowerPoint and Access.
  • Intermediate level computer literacy; internet, email, word processing, formatting, tables, graphing, presentations, spreadsheets, databases, and multimedia
  • Encourages the effective use of technology to improve operations
  • Ability to work independently; strong administrative and computer skills; strong interpersonal skills (e.g., tact/diplomacy, cooperation, negotiation); high level of initiative, judgment and discretion; discretion with confidential information.
  • The ability to proactively seek out solutions independently and within a team environment
  • Must be very organized and demonstrate the ability to prioritize workload to meet deadlines and prevent oversight
  • Proper use of grammar, spelling and punctuation.
  • Broad knowledge of company operations and policies and procedures.
  • Knowledge of advanced secretarial procedures and executive protocol.




Experience/Education




  • Any combination equivalent to graduation from high school or GE.
  • Formal secretarial training or degree in Secretary Science and/or CPS designation desired.
  • Five (5) plus years secretarial or administrative experience, and performance of duties at a responsible level
