POSITION: Full-Time Human Resources/Payroll Assistant (Staff Assistant): Human Resources; Haverhill Campus (Lawrence Campus (45 Franklin Street) as needed); 37.5 hours per week; Non-Unit Professional Position
SUMMARY: The Human Resources/Payroll Assistant is primarily responsible for the accuracy, data entry and approval of part-time, work-study, and adjunct faculty employees. Accurate computation and implementation of annual salary increases for faculty and professional staff according to the collective bargaining agreements. Verifying data entered for compliance with federal and state laws, maintaining payroll records and providing exceptional customer service. Acts as back up for Human Resources support services as needed. Participate in the coordination of annual celebratory events, such as Service Recognition Awards, Holiday Celebration and other employee engagement activities. This position will be assigned other duties as requested by the Senior Payroll Specialist and the Vice President of HR.
RESPONSIBILITIES:
Process and reconcile adjunct payroll transactions, attendance sheets, and exceptions in adherence to CBA
Enter employee data, union dues, deductions, retro pay, timesheets, stipends, and special payments into our payroll system (HRCMS)
Validate payroll reports, ensure compliance with contract policies and track garnishments, sick leave, and vacation balances.
Calculate and process payments for terminations, retirements, promotions and other adjustments.
Manage employee verifications, unemployment forms, audits, and external reporting.
Train employees on time collection system, resolve payroll issues, and communicate payroll policies.
Provide back-up on payroll processing days, which may require working holidays and other days the college may be closed.
Maintain payroll files
Union Grievance, Arbitration, Mediation tracking, scheduling and reporting.
Perform other duties as assigned.
Job Requirements:
MINIMUM QUALIFICATIONS:
Associate's Degree in Business Administration, Human Resources, or related field, or equivalent experience.
At least two (3) years of payroll or accounting experience.
Proficient in Excel and Knowledge of Access software programs.
Knowledge of Federal and Massachusetts State payroll laws, principles and practices.
Strong analytical skills, including the ability to interpret payroll data, apply it effectively and make sound recommendations.
The role requires excellent judgement, discretion with confidential information, and the ability to meet critical deadlines,
Ability to perform accurate mathematical calculations, maintain detailed records, and communicate effectively
Work both in collaboration with a team or independently.
PREFERRED QUALIFICATIONS:
Knowledge of HR/CMS, Peoplesoft or other payroll software.
Experience interpreting and understanding complex collective bargaining agreements/union contracts
Bilingual (Spanish/English)
Experience working with and supporting a culturally diverse population

Additional Information:
