The purpose of your role as a Licensing + Safety Coordinator

As a Licensing + Safety Coordinator, you will monitor current secretary of state, contractor, business, and trade licenses held company-wide to complete renewals in a timely manner. Provide administrative support to the Safety Team and administer safety programs. Serve as the contact person in the absence of the Licensing + Contracts Manager.

Safety Department Support:

  • Process incident reporting for workers’ compensation claims
  • Update and maintain safety data, trainings, and reporting in a variety of reporting systems.
  • Upload weekly hours reports into safety software
  • Coordinate new employee safety orientation and training, and CPR training.
  • Maintain and record incidents for the OSHA 300 log and OSHA 300A Log.
  • Maintain, update, and distribute safety related programs.
  • Update, assemble, and distribute safety materials.
  • Assist in maintaining safety data sheets (SDS) database and update SDS books.
  • Assist with point maintenance for the Safety Award program.

Licensing Support:

  • Complete annual Secretary of State filings for all entities.
  • Responsible for renewing all Minnesota city licensing.
  • Assist with contractor, business, and trade licensing.
  • Assist with researching licensing requirements for new markets.
  • Assist in completing new contractor, business, and/or tradesperson applications.
  • Complete annual SAM renewals for each entity.

Organizational Support:

  • Input and maintain purchasing card and gas card information in HRIS platform.
  • Allocate purchasing card charges.
  • Administrator gas card program.
  • Vehicle tracking and vehicle registration, including driver DMV checks.
  • Gather and track DOT information.
  • Complete MVR checks.
  • Provide general administrative support to the Legal Team.
  • Prepare and/or edit legal documents, letters, contracts, agreements, reports, and presentations for the general counsel

What we're looking for in you

  • 2-3+ years of experience providing administration support to a group or division
  • 2-3+ years of experience writing business level correspondence
  • 2-3+ years of experience researching and communicating information to support business decisions.
  • Proficient with Microsoft Office – advanced typing skills
  • Must be able to communicate clearly and effectively with field personnel, subcontractors, owners and others
  • Understanding of OSHA standards and guidelines preferred

Pay Range: $23.18 - $34.77 per hour

The actual salary offer will vary by candidate based on a wide range of factors such as specific skills, qualifications, experience, and location.
