Primary Role
The External Affairs Operations Coordinator provides communications, administrative and technical support to the VPs and Directors of Communications & External Affairs, and Government Affairs. This role includes assisting with communicating to external stakeholders (i.e., community partners, conferences, elected and appointed officials), communicating internally with other departments and employees, assisting EA, Comms and GA team.
Key Accountabilities
• Uses and maintains relational databases and other reporting tools to compile, calculate, track, report and clean-up data pertaining to various processes.
• Supports entire team with coordination of conferences, panels, SMEs, presentations, review process, external organizations outreach, coordinates with Senior Principal on relationship map as well as Chief Legislative and External Affairs team Assist in conference coordination, pre and post conference outreach, and other marketing support.
• Manages budgets and completes various accounting tasks such as check requests, invoice processing, establishing new vendors, verifying accuracy of figures and computations, balancing and reconciling budgets, and researching and responding to discrepancies.
• Provide general administrative support for day-to-day managerial and departmental needs and special projects, which may include but are not limited to, composing correspondence, preparing and distributing meeting minutes, planning/coordination of events and departmental meetings, processing purchasing card and related expenses, initiating purchasing transactions, document and presentation preparation, etc.
Knowledge/Skills
• Thorough knowledge of standard business practices and principles, including basic accounting and budgeting
• In-depth knowledge of Microsoft office suite applications including MSWord, Excel, Access and PowerPoint and email management systems
• Knowledge of SAP and Coupa preferred
• Knowledge of wastewater or utility industry preferred
• Demonstrated organization and administrative skills
• Demonstrated effective communication skills, both verbal and written
• Demonstrated ability to prioritize and manage
• Demonstrated interpersonal skills
• Effective problem solving and analytical ability
• Understanding of safety and regulatory requirements
Experience/Education
• High school diploma or equivalency required.
• Bachelor's Degree in business or related field, or equivalent work experience
• Prior corporate and/or multi-subsidiary experience desired.
• Minimum 1 year prior experience in utility, shared service, or multi-company enterprise a plus.
• Minimum of 5 years in supporting executive level employees preferred.
Travel Requirements
• Local and occasional regional travel may be needed.
