Responsibilities
Essential Duties
Perform customer service duties, administrative responsibilities, and mailroom operations with diligence, initiative, and a flexible approach to accommodate changing needs.
Serve as the primary back up for the corporate receptionists and mailroom team
Receive and accurately direct incoming telephone calls for PITT OHIO and associated companies
Represent the PITT OHIO brand in a friendly, welcoming, and warm manner with all callers and visitors
Greet clients and visitors and notify staff of visitor’s arrival
Provide information and assistance to clients and customers
Maintain and organize the file storage room including annual file storage HR files
Alphabetize, organize, scan, and file HR documents into electronic file management system
Review & compare shadow files to HR personnel files; destroy unnecessary files; forward non-HR documents to appropriate department
Support HR staff with duties and projects as needed including general administrative duties such as typing, filing, sorting, and organizing, etc.
Ability to react to change productively and handle other essential tasks as assigned
Other Duties
Assist with responding to employment verifications & file appropriately
Assist with the coordination of corporate monthly birthday cake orders and setup; maintain list and route department birthday cards
Provide support and assistance for various HR sponsored activities including summer cookout, Employee Appreciation Day, and Kid’s Day, etc.
Assist with other company functions and initiatives as necessary.
Qualifications
Minimum Requirements
Command of English language to communicate effectively with internal and external customers
High School Graduate or GED
Previous experience using Microsoft Office Products including but not limited to Outlook, Word, and Excel is preferred
Customer Service and/or clerical experience preferred but not required
Must possess excellent interpersonal, verbal and written communication skills
An excellent phone voice and a pleasant personality is essential
Previous experience with a multi-line electronic phone system is preferred but not required
Ability to work individually and function as part of a team
Ability to maintain exceptional degree of discretion regarding confidential information
Ability to establish and maintain effective relationships with all levels of internal and external customers
Flexibility with changing job duties
Working Conditions/Physical Requirements
Office Work
Monday through Friday, hours may vary depending on department needs. No weekend hours and minimal overtime required
Quiet to moderate noise level
Daily movement between three floors
Primarily sedentary work – may be required to lift up to 25 pounds or exert up to 10 pounds of force occasionally and/or negligible amount of forces frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time. Walking and standing are only required occasionally.
Close visual acuity is required to perform activities such as preparing and analyzing data and figures, viewing computer terminal, and extensive reading.
Typical exposure to interior environmental conditions like air conditioning and dust; no substantial exposure to adverse environmental conditions.
Manual dexterity is regularly required including fingering, grasping, and typing; manual dexterity includes repetitive motion of the wrists, hands, and fingers.
Talking and hearing required to communication with and listen to others to share or receive information. May be occasionally exposed to noise including telephone, office machinery, and conversations of others.
Mailroom Work
Standing may be required for sustained periods of time to operate machinery and to sort mail
Moderate to loud noise levels due to mail machines
Daily movement between three floors
Frequent movement and non-sedentary work required – may be required to lift up to 40 pounds or exert up to 20 pounds of force frequently to lift, carry, push, pull or otherwise move objects including the human body in a sustained motion; walking is frequently required for sustained periods of time
Close visual acuity is required to perform activities such as reading mail, entering data, viewing computer terminal, operating machinery, and extensive reading.
