ORGANIZATIONAL SUMMARY:

The Student Success division at the University of South Florida is comprised of 60 departments that provide students with academic support, engagement opportunities, health & wellness services, and enhancement of the educational
experience.

The Office of the Registrar (URO) has a two-part mission: to support the university's teaching function by documenting the extent and quality of students' formal learning experiences and to provide quality service to students, faculty, staff and the general public in the creation, maintenance and release of student academic records.

POSITION SUMMARY:

The Enrollment Management Assistant supports the enrollment management of a campus, college, school or department by providing records and registration information to current, prospective, newly admitted, and readmitted students and their parents. This position is responsible for updating student records. This position also assists students and academic department personnel by providing timely and accurate answers to requests received through a variety of platforms. This position serves as a front-line resource, supplying and interpreting university Regulation, Policies and Procedures as well as URO services.

RESPONSIBILITIES:

Assists with the resolution of student issues, focusing on active listening, and timely resolution to all inquiries and requests. Interprets USF regulation and policies as appropriate. Identifies when complaints are the result of specific policies or procedures. Provides outstanding customer service through this work, and shares themes with leadership team to inform continuous quality improvement.

Provides university staff with requested information on a timely basis. Using initiative and independent judgment, performs daily maintenance to academic records using the student information system and other technologies. Ensures the timely processing of Grade Forgiveness requests, ARC Petitions, Academic Renewals, Student Cancellations and Reinstatements, Five-year applications, and resolution of student record discrepancies.

Responsible for ensuring confidentiality of student data. Performs all work with confidential and sensitive student information under observance of the Family Educational Rights and Privacy Act (FERPA), and other federal and State
guidelines. Informs the individuals working with confidential student information about legal restrictions, privileges, and ethical considerations surrounding its use. Contributes to the ongoing editing of our office procedures through the URO's
Wiki. Regularly updates Assistant Registrar on status of projects, highlighting important issues and areas of concern. Serves on institutional committees at the discretion of supervisor and the University Registrar.

Performs other duties as assigned

POSITION QUALIFICATIONS:

MINIMUM:

This position requires a high school diploma or equivalent, with one year of experience in office, administrative, or academic/student services support positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
