Job Description:

Key Responsibilities:

  • Greet and direct visitors, residents, and family members with a positive and professional attitude.

  • Answer incoming calls, handle inquiries, and direct calls to appropriate staff or departments.

  • Perform general administrative duties such as filing, data entry, and maintaining office supplies.

  • Ensure all visitors sign in and follow appropriate facility protocols (e.g., visitor badges, health screening).

  • Schedule appointments for residents and manage appointment reminders for medical, dental, and other healthcare-related visits.

  • Assist with resident check-in/check-out processes and ensure all paperwork is completed accurately.

  • Handle incoming and outgoing mail and packages in a timely manner .

  • Maintain accurate resident records and confidential information in compliance with HIPAA and other privacy regulations.

  • Support other departments with clerical tasks, such as coordinating meeting schedules, preparing reports, and assisting with special projects as needed.

  • Provide general support to administrative and clinical staff as needed.

  • Ensure the front office area is clean, organized, and welcoming at all times.

Qualifications:

  • High school diploma or equivalent required; additional administrative or healthcare-related training is a plus.

  • Previous receptionist or administrative experience, preferably in a healthcare or long-term care setting.

  • Strong communication skills, both verbal and written.

  • Ability to handle a high volume of phone calls and visitors with professionalism and patience.

  • Knowledge of basic office software (Microsoft Office Suite, email, etc.).

  • Excellent organizational skills with the ability to prioritize tasks effectively.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Compassionate, friendly, and customer-service oriented.

  • Ability to work in a fast-paced environment while maintaining a calm and professional demeanor.

  • Bilingual (English/Spanish) is a plus but not required .

Physical Requirements:

  • Ability to sit, stand, and walk for extended periods.

  • Occasional lifting of up to 25 pounds (e.g., mail, office supplies).

  • Comfortable working in a healthcare environment with frequent interactions with residents, families, and staff.
