Job Role Summary
The Facilities Engineering Reporting and Operations Coordinator is the main dispatch contact for plant operations and is responsible for the management of all data, programs, and documentation of systems related to facilities engineering work orders, compliance, and infrastructure.
Essential Functions and Responsibilities
Customer Service, answering, and dispatch for all first shift urgent phone requests and associated follow ups.
Updating daily board with high priority equipment issues
Routing of urgent needs to the technician, supervisor, and manager as appropriate for timely resolution
Creation, editing, and completions for applicable work orders
Review of work order dashboards daily and as often as necessary to ensure assignment, progress, and completions
Monthly assessment of all work order PMs to ensure compliance and follow up with responsible supervisors
Provide effective and efficient operational task coordination relating to, but not limited to regulatory compliance document management, maintenance record keeping, scheduling test and maintenance activities, elevators, boiler and pressure vessel permitting, and material requisition support.
Facilitates and completes department administrative tasks including making spreadsheets, power point presentations, staff reports, meeting facilitation, and SharePoint site content management.
Provide support during Joint Commission, State Board and Fire Marshall audits and present compliance documentation as needed
Regularly review and maintain procedures relating to facilities equipment maintenance.
Maintain a detailed inventory of all equipment and spare parts. Input new assets/sites as necessary.
Create and maintain both digital and physical compliance documentation.
Review all contractor documentation to ensure it meets required standards
Collaborate with facility management in the development and maintenance of schedules and resource leveling by utilizing the work order program.
Design, print and maintain asset barcode labels for use with barcode scanning software.
Report on key performance indicators monthly to the management team to identify potential failures, identify risk mitigation efforts and increase efficiency throughout our environment.
Create resource profiles and train users on the use of TMS Side Kick mobile work order system
Administer the work order program
Administer temperature monitoring system for medical and nutritional systems.
Serve on-call as required
Job Requirements
• Associate degree from an accredited engineering or business college or university with 2 years of progressive business environment work experience within an engineering, utility, construction, consulting, or operations related discipline. • 7 years directly applicable equivalent experience will be considered in lieu of Associates degree requirement. • Valid Indiana Driver's License

Must have organizational abilities
Advanced understanding of computerized maintenance management systems such as TMS and ability to create and maintain dashboards, create data sources, customize views, set up new assets and preventative maintenance schedules, create planned events, maintain material tables, create and maintain work order web request system,
Working knowledge of Temperature Monitoring Systems such as TempTrak
Proficiency at hardware troubleshooting and instillation for temperature monitoring system
Highly proficient in Microsoft Word, Excel, and PowerPoint, Outlook, Bartender Designer, Adobe Acrobat, TMS Sidekick, Microsoft Sharepoint
Ability to read architectural and engineering construction documents
Data Analysis and Reporting Skills
Ability to adapt to new technology and set up maintenance staff communication devices for use in completing work orders
Ability to teach staff on related systems and tasks
