Job Description:

This position is responsible for managing the daily activities of the Patient Financial Services (PFS) department including staff coverage, smooth operation of the billing and collections workflow, assuring work expectations are met and communication with the Patient Financial Services Director of issues as appropriate.

Essential Functions:

Responsible for managing the daily activities of the Patient Financial Services (PFS) department including staff coverage, smooth operation of the billing and collections workflow, assuring work expectations are met and communication with the Patient Financial Services Director of issues as appropriate.  Daily activities overseen include:


  • Verifying insurance coverage and submitting claims to insurance companies.

  • Billing secondary insurances.

  • Processing payments and preparing daily deposit.

  • Assisting patients and interdepartmental staff with billing inquiries.

  • Assisting patients with setting up payment plans, completing payment plan agreements and following up to ensure compliance.

  • Investigating and resolving insurance denials.

  • Reviewing and processing patient and/or insurance company refunds.


  1. Responsible for providing a supportive resource as well as development and training to new and current employees.

  2. Demonstrating leadership while fostering motivation and goal setting for PFS.

  3. Coordinates the activities of the department in the Director’s absence.

  4. Reads and interprets transactional data within patient accounts.

  5. Comprehends Electronic Data Interchange (EDI) functionality and the general progression of data in the Practice Management System (PMS), Electronic Health Records (EHR), and EDI systems. Understands and resolves payer edits and/or rejections.

  6. Demonstrates knowledge of medical terminology, CPT, ICD-10, CCI edits and HIPAA regulations.

  7. Performs extensive account follow up activities utilizing the PMS. Investigates, analyzes and resolves problematic and delinquent accounts. Utilizes ancillary applications and websites as a tool to retrieve medical documentation, claim status, eligibility, billing guidelines, or authorization/referrals to substantiate correct claim submissions, written appeals or coding reviews.

  8. Processes daily and monthly reports, including accounts receivable aging.

  9. Posts cash receipts and assists in the daily and monthly reconciliation.

  10. Stays up-to-date with all insurance billing guidelines.

  11. Prepares monthly statements and collection files.

  12. Others duties as assigned.

Working Conditions:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, video calls/communication, photocopiers, and filing cabinets. Advanced keyboarding abilities and computer knowledge is required. This role often requires sitting for long periods of time.  Some travel between locations maybe required.

Minimum Qualifications:


  1. Bachelor’s Degree preferred, high school diploma or GED is required. Minimum of five years’ experience in Patient Financial Services or Revenue Cycle Management within the healthcare field and/or Supervisory experience required.

  2. Knowledgeable and experienced within PMS, Outlook, Word, and Excel.

  3. Must have good communication skills and be detail oriented.

  4. Ability to work independently and collaboratively within a team environment.
