BBCH is seeking a Legal Operations Administrator to join our in-house legal department. The Legal Operations Administrator will work with members of the BBCH Legal, Compliance, and Risk teams, assisting with various legal and quasi-legal activities. The Legal Operations Administrator will support efforts to optimize legal department operations, processes, and strategies, and to enhance the legal function's overall performance and strategic value to the business. The Legal Operations Administrator will also lead BBCH's records and information management (RIM) efforts. Knowledge and experience with federal contracting and the construction industry, or a related industry such as architecture or engineering, is preferred.
This position will report locally to our Knoxville, TN office.
Essential Duties & Responsibilities
The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties, but not all duties performed for this position. Other duties may be assigned.
Prepare and maintain corporate records and documents.
Manage responses to formal document production requests, including third-party subpoenas, FOIA Requests, and agency audits.
Assist with legal review of agreements and related documents.
Assist with management of outside counsel and consultants, including review and processing of legal bills.
Providing administrative support to members of the BBCH Legal Department.
Assist with identifying records, appropriately collecting, boxing and moving documents to the RIM department, classifying and inventorying records, and performing quality control of inventoried records.
Manage at least one staff member and coordinate activities between members of the BBCH Legal, Compliance, and Risk teams.
Assist with the development of training and/or presentations on contract law, employment law, and other construction related legal issues.
Performs file maintenance, database input, and document preparation.
Performs scanning, microfilm and imaging duties in accordance with RIM policies and procedures.
Performs various clerical duties required to update the appropriate logs, databases, and indexes.
Assists other departments and Records Coordinators in preparing boxes for transfer and storage.
Administering the BBCH Legal Department document management system.
Assist with preparation and filing of legal documents including pleadings, discovery, agreements, and releases for in-house attorneys and outside counsel
Performs hardcopy document preparation services for inventorying, microfilming or scanning.
Assist with budgeting and processing of invoices and expenses.
Performs other duties as assigned.
Minimum Qualifications:
To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The qualifications listed are representative of the knowledge, skill, and/or ability required.
Minimum of four (4) years working in a law firm or in an in-house legal department, or alternatively working in a construction related industry in a relevant field (e.g. RIM, Corporate Risk, etc.).
Associates degree or certificate in a relevant field (e.g. paralegal studies, RIM, Corporate Risk, etc.). Extensive professional experience may be substituted for a degree or certificate.
Familiarity with contract language and terminology.
Advanced organizational skills.
Excellent oral and written communication skills.
Ability to produce detailed written reports.
Ability to maintain confidentiality of sensitive matters
Orientation to quality; high attention to detail.
Must work well with others and communicate effectively across teams and departments.
Skill in operating and maintaining micrographic and imaging equipment.
Advanced skill in MS Teams, MS Word, and MS Excel.
Preferred Experience:
Knowledge of rules and procedures relative to Federal and State court proceedings and ADR proceedings.
Experience with establishing and managing document management programs.
Work experience in a fast-paced environment.
U.S. military service.
Prior employment with a federal contractor or Alaska Native Corporation (ANC).
Prior employment within a construction practice group at a law firm or in-house legal department.
Training or certification as a paralegal, RIM professional, or in corporate risk.
