Job Description:

Position Summary: The Contracting Administrative Assistant is responsible for assisting the Contract Management Team with proposal development by delivering administrative support for various projects across a mix of customers for which Pike Corporation serves. This position is responsible for providing secretarial, clerical, and administrative support in an effective and efficient manner.  Individuals will have effective multi-tasking abilities with a positive and helpful disposition. In addition, this individual will need to be flexible, but maintain a good sense of priorities as they provide support.  This position will be responsible for maintaining a positive relationship with our customers, management, and field operations teams.  Contracting Administrative Assistant is expected to develop industry skills and to have the ability to work independently.  This individual will be working with pricing and other company information that must be kept confidential.

Essential Functions:

Under minimal supervision, the Contract Administrative Assistant will provide:


  • Assistance with RFP/RFQ/RFI responses for site specific projects and master service agreements, including but not limited to creation of final proposal documents and bid package submittal

  • Review RFP/RFQ/RFI documents for critical information, bid event timeline and deliverables

  • Effectively communicate verbal and written communication to internal and external parties.

  • General administrative support including phone support, collection and processing of mail, meeting notices, calendar management, office supplies, etc.

  • Provide data entry and perform quality control responsibilities; manage internal spreadsheets/databases for reporting purposes

  • Provide copying, scanning, distributing, and filing of RFP/RFQ/RFI, proposal and contract documents

  • Support of emergency and storm restoration events

  • Additional responsibilities as assigned

Minimum Requirements:


  • Minimum High School Diploma and minimum of 2-5 years of related construction industry work experience

  • An Associate or Bachelor’s degree preferred

  • Ability to handle highly confidential information and exercise considerable discretion and independent judgment

  • Working knowledge of personal computers and software applications with MS office application proficiency 

  • Demonstrated skills in written communications; ability to compose basic, as well as, complex proposals, technical documents, and formal letters

  • Demonstrated skills in oral communications

  • High energy level with the ability to work in a fast paced, ambiguous environment with a bias for action

  • Proven success in developing and maintaining internal and external relationships while effectively navigating organizational barriers

  • High commitment to achieving goals and plans

  • Excellent organizational, planning and time management skills

  • Ability to assist with multiple projects simultaneously

  • High attention to detail with the ability to recognize discrepancies

  • Ability to collaborate with a variety of individuals from various socio-economic, cultural and ethnic backgrounds

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands and fingers to handle, feel, or operate objects, tools or controls; reach with hands and arms.  This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. 

Work Environment:

While performing the duties of this job, the employee is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work). The employee may be subject to one or more of the following atmospheric conditions that affect the respiratory system of the skin: fumes, odors, dust, mists, gases, or poor ventilation.
