Sr. Sponsored Programs Specialist
The University of Miami/UHealth department of The Miami Project has an exciting opportunity for a Full Time Sr. Sponsored Programs Specialist to work at the UHealth Medical Campus. The Sr. Sponsored Programs Specialist coordinates administrative and financial functions for the assigned department. This position also oversees junior staff and takes on the review of more complex grant activities in order to ensure departmental compliance with applicable guidelines, rules, and regulations.
Provides technical assistance and guidance to faculty and administrators in the development and preparation of funding proposals.
Responds to general inquiries regarding sponsored program policies and procedures.
Reviews grant applications to ensure accuracy.
Accesses applicable database(s) to verify regulatory compliance approvals before establishing of the project account.
Maintains the internal proposal documents and electronic records for assigned portfolio.
Processes and disseminates various non-financial post-award actions such as award notifications, amendments, and related documents.
Assists in the coordination of the project closeout.
Coordinates with faculty on possible need for budget revisions to be consistent with award amount as received.
Department Specific Functions
This position will assist the Director in providing oversight for all financial aspects of the Center of Miami Project grant/research portfolio; this includes regular updates of financial budgets and activity relating to grants, contracts, and clinical trials projects. This position will also assist in providing financial management and reporting to faculty, principal investigators, and lab managers; some administrative work may be required.
Responsibilities include and are not limited to the following:
Reconcile grants, contracts, clinical trials.
Prepare and distribute financial reports for all grants, contracts, clinical trials.
Monitor budgets monthly, confirms accuracy and conducts variance analysis of actual vs. budget.
Prepare all award close-out reporting including final reconciliation for the Office of Research Administration
Work with the Director to monitor all program budgets and troubleshoots problems identified from reports (e.g., incorrectly allocated personnel and non-personnel expenses, etc.)
Clear overdrafts and process cost transfers (journal entries).
Responsible for sponsored project contract invoicing.
Resolve all routine matters related to financial activities.
Coordinate the retention and maintenance of the financial records.
Provide adhoc financial reports and special projects upon request.
Additionally, will work closely with subcontracts to ensure compliance of federal standards, including accurate and timely billing, payments, and the renewal of subcontract agreements and Subaward Purchase Orders
Develop and maintain up-to-date knowledge of federal grants and contracts rules and regulations.
Provide administrative support for the Research unit
Other duties as assigned by the Research Administrator

Core Qualifications
Bachelor's degree in relevant field required
Minimum 3 years of relevant experience
