The Department of Biology on the Northwest campus of Indiana University is one of the largest departments within the College of Arts & Sciences (COAS). The department currently has 8 full-time faculty, many with active research projects, as well as several part-time faculty and student lab assistants. The department conducts science classes for students pursuing majors in all the colleges across the campus as well as students pursuing biology degrees within the department. The department offers dozens of sections of classes each semester, including lectures, labs, discussions, research, and independent study sections. Several labs in Marram Hall provide space for experiential labs in anatomy and physiology, microbiology, and genetics. Students pursuing biology degrees are often preparing for careers in medical fields, research, or environmental positions. We prepare our students to communicate effectively, think analytically, and develop the skills necessary to succeed in a rapidly changing world.
Job Summary
This position will provide support to the Department Chair, Pre-Health Advisor, full-time and part-time faculty, other staff, and the College of Arts and Sciences (COAS). The Student Services Coordinator will assist students with information regarding the schedule of classes; faculty information; COAS, department, and university policies; or direction to the appropriate offices or university personnel to assist with specific needs.
Department-Specific Responsibilities
Maintains a professional working environment in the department office.
Conversant and comfortable with the diversity of the biology curriculum and students, and embraces the mission of the university and the department.
Maintains communication with the Chair (even when not present) and communicates on behalf of the Chair professionally and promptly; assists the department chair in all aspects associated with the student advising system, including scheduling appointments, administering, and recording results from placement exams, maintaining/updating student files electronically, and assisting in the preparation of letters and reports.
Supervises hourly workers and time approval as needed.
Helps the Academic Lab Specialist and Faculty maintain inventory for the department, including lab equipment and consumables, and office supplies
Maintains the departmental web page, social media accounts, and apps including updating Faculty Professional Profile sites, departmental information, and communicating with students, the community, and other key stakeholders through a variety of social media platforms; be comfortable with all aspects of desktop publishing software to create brochures, flyers, and manuals.
Provides search and screen support for both full-time and adjunct faculty; assists with travel as required, monitors the department budget including expenditures and balances; processes all faculty purchase requests including book orders and faculty research orders.
Engages in student recruitment and retention efforts; maintains alumni contact information; electronic contact with students and alumni through social media such as Twitter, Facebook, etc.; provides administrative support for student clubs and organizations as needed including regional/ national associations to renew applications for the departmental membership.
Works with the College of Arts & Sciences offices about adjunct faculty pay, to support tracking of curricular changes through the Curriculum Committee and on special projects as needed.
General Responsibilities
Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives.
Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports.
Accurately maintains electronic records and databases.
Provides directions, support, and information to student organization representatives and other visitors to the department.
Assists with daily scheduling, training, and gathering of student feedback.
May prepare and disseminate handouts, presentations, or other materials.
May assist with ordering or creation of promotional materials for student organizations or departmental needs.
May provide guidance to other Student Services Coordinators.

2 years in office environment, higher education, or related field

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
